JOB SUMMARY The Administrative Assistant - Supply Chain provides assistance to the department by organizing and utilizing resources that support operation. Performs clerical and administrative duties, and provides reception support including answering telephones, making appointments, greeting clients and visitors. This position reports to the Supply Chain Manager.
JOB DUTIES Duties may include, but are not limited to the following:
- Greets and admits visitors, customers and applicants into the facility at the reception desk, ensuring that they are made aware of Good Manufacturing Practices (GMPs)
- Answers and routes incoming telephone calls
- Maintains, orders and distributes office supplies while monitoring the budget
- Maintains paper and electronic files
- Performs data entry as required
- Compiles reports as required/requested
- Prepares weekly production orders and scans to drive
- Compiles and summarizes data using established methods and with close direction
- Composes correspondence, proofreads documents, and prepares presentations
- Coordinates meetings including scheduling conference rooms, preparing materials and ordering refreshments
- Coordinates and maintains calendars
- Sorts and distributes mail
- Other clerical and office support activities as directed
REQUIRED KNOWLEDGE & COMPETENCIESKnowledge of: - Good Manufacturing Practices (GMPs)
- Manufacturing Environment including hazards, safety requirements, logistical requirements
Skill in: - Successfully analyzes and presents data to multiple levels of the organization
Ability to: - Communicate effectively both verbally and in writing
- Successfully multi-task
- Prioritize work based on short and long term objectives
Proficiency in: MINIMUM QUALIFICATIONS - High School diploma or GED
- Ability to read, write, perform basic mathematics, and the ability to learn computer technology and verify accuracy of data
- Minimum 6 months experience in a clerical or customer service role
- Computer proficiency including Microsoft Office Suite (Word, Excel, Outlook, Teams)
- Must be able to read, write, understand and speak English; Bilingual Spanish preferred
PHYSICAL REQUIREMENTS - Sitting at a work station for extended periods of time
- Stand, walk, climb stairs on an infrequent basis
- Must be able to lift 20 pounds on an infrequent basis
WORK ENVIRONMENT - Work is primarily done in an office setting
- Infrequent multi-level production environment exposure which includes noise, dust, moving machinery, forklifts, and fluctuations in temperature

The pay range for this full-time, salaried position is $35,764 - $53,646/year. Individual base pay depends on work location and additional factors such as experience, job-related skills, and relevant education or training. The position is eligible for a discretionary annual incentive based on company and individual performance. We offer a comprehensive benefits package including health, dental, 401k and wellness benefits beginning on the first day of employment.
