Job Description:Essential Duties and Responsibilities: Office Coordination & Administrative Support: - Serve as the first point of contact for internal and external communications, including answering calls and greeting visitors.
- Maintain and organize physical and digital filing systems for confidential company documents.
- Manage schedules, calendar invites, and travel arrangements for executive staff.
- Prepare and edit correspondence, reports, presentations, and other documents as directed.
- Assist with meeting preparation, including agenda development, materials distribution, and note-taking.
Project & Operations Assistance: - Support the operations, HR, accounting, and development departments with ad hoc tasks and project coordination.
- Track deadlines and assist in ensuring timely completion of internal deliverables.
- Monitor office supplies and place orders as needed to ensure a well-stocked and functional workspace.
- Maintain office appearance, organization, and compliance with company protocols.
Communication & Collaboration: - Act as a liaison between departments, hotel properties, and vendors to ensure clear and timely communication.
- Coordinate delivery of important documents to hotel locations when needed.
- Help plan and execute internal events, meetings, and team celebrations.
Education, Skills and Abilities: - Education: High School diploma or equivalent required; associate or bachelor's degree in business administration or related field preferred. Relevant experience considered.
- Experience: 1+ years in an administrative, office, or support role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Experience with hotel management systems (e.g., Opera, Lightspeed) is a plus.
- Analytical & Problem-Solving: Ability to handle confidential information with discretion and integrity and resolve discrepancies efficiently.
- Detail-Oriented & Organized: Strong organizational skills with the ability to multitask and manage priorities effectively.
- Communication & Collaboration: Excellent verbal and written communication skills with strong professional etiquette and teamwork skills to coordinate across departments.
- Language: Bilingual (English/Spanish) is a plus.
Physical Requirements: - Ability to sit and stand for extended periods of time.
- Frequent use of hands for typing, writing, and handling office equipment.
- Occasionally lifting items up to 25lbs.
- Comfortable working in an office setting.
