SUMMARY

Provide general administrative support as needed to Executive Team, Legal, Finance & Accounting and other departments as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Manage the President/CEO and other senior Executive Team Members' calendars as requested and schedule meetings
  • Provide Administrative assistance to Head of Legal including:
    • Handling the organization, and maintenance of legal documents in the Electronic Contracts Management System
    • Distributing and tracking document execution through DocuSign
    • General administrative supporting, including scanning, copying and organizing documents for the purposes of production and other requests.
  • Coordinate management, customer, vendor and other such meetings, as well as onsite and off-site events, as needed
  • Oversee and arrange catering for onsite and off-site meetings and events
  • Prepare expense reports for President/CEO, CFO, Corporate VP and President's other direct reports, as needed
  • Assist President/CEO with corporate video conference calls
  • Handle President/CEO's incoming/outgoing mail and telephone calls with confidentiality
  • Coordinate with Sales in scheduling NACDS events and industry related conferences
  • Coordinate travel logistics for President/CEO and direct reports and staff, including but not limited to booking hotels, cars and flights as requested
  • Maintain PTO records for President/CEO and direct reports
  • Prepare conference room spaces by setting up any equipment and providing necessary materials
  • Establish accounts with catering vendors & preparation of monthly payments
  • Facilitate iPurchase requisitions and office supply orders for Executive Team
  • Provide back up for the front desk
  • Other duties as assigned

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

One year certificate from college; or One to three years administrative related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
