We are seeking a motivated and detail-oriented Administrative Assistant to join our team part-time at our Saint Petersburg, FL, office with the potential for hybrid work hours.
Job Description As a Part-Time Administrative Assistant, you will play a crucial role in supporting the executive team with various administrative tasks. Your responsibilities may include but are not limited to the following:
- Managing correspondence: Handle incoming and outgoing communications, including emails, phone calls, mail, and packages.
- Scheduling: Assist in scheduling meetings, appointments, and events, ensuring all logistics are in place.
- Office support: Provide general office support, including making bank deposits, ordering supplies, managing office equipment and systems, and maintaining a clean and organized workspace.
- IT support and equipment management: Assist our IT department with ordering and shipping logistics for technology equipment and manage the inventory and maintenance of the technology in the office.
- Expense reporting: Prepare, review, and submit expense reports for the executive team, ensuring all expenses are accurately documented and comply with company policies. This includes tracking receipts, reconciling expenses, and following up on discrepancies.
- Reporting and presentation support: Assist in the preparation of reports and presentations, ensuring they are accurate and professionally formatted.
- Document management: Organize and maintain electronic and paper files, ensuring documents are easily accessible.
- Data entry: Accurately input and update data in our systems and databases.
- Trade show and conference administrative support: Assist our Marketing department with booth shipments, equipment management, and inventory in the office.
- Other duties as assigned: Perform additional tasks and projects as needed to support the team and company operations.
Qualifications - Experience: At a minimum, 3-5 years of experience in an administrative role is required. Experience with C-level executive support is highly preferred.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Experience with expense report software preferred.
- Communication: Excellent verbal and written communication skills.
- Organization: Strong organizational skills with the ability to multitask and prioritize effectively.
- Attention to detail: High level of accuracy and attention to detail with the ability to handle sensitive information in a confidential manner.
- Interpersonal skills: Ability to work well with others and provide excellent customer service.
