Job Summary: We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative support to our department. The ideal candidate will have 3-5 years of proven experience handling a wide range of administrative tasks with a high level of professionalism, efficiency, and confidentiality.
Key Responsibilities:- Manage and maintain calendars, schedule appointments, and coordinate meetings across multiple time zones.
- Arrange domestic and international travel, including flight bookings, accommodations, ground transportation, and travel itineraries.
- Prepare, review, and submit expense reports in a timely and accurate manner.
- Provide front desk support, including greeting visitors, answering phone calls, and managing incoming mail and packages.
- Support the team with document preparation, data entry, filing, and other general office tasks.
- Coordinate logistics for internal and external meetings, including room bookings, catering, and materials preparation.
- Maintain department files and records in accordance with company policies and procedures.
Qualifications:- 3 to 5 years of administrative experience, preferably in a corporate or fast-paced environment.
- Strong organizational and multitasking abilities with excellent attention to detail.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office software.
- Excellent communication skills, both written and verbal.
- Ability to handle confidential information with discretion.
- Proactive, reliable, and a strong team player.
- Experience coordinating international travel and multi-time zone calendar management.
- Familiarity with expense reporting systems (e.g., Concur, SAP).
