Part-time Administrative Assistant

Summary: Provides administrative support to the President, Chief Operating Officer as well as to Accounting & Human Resources. This may include, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. It is estimated that this position will require about 25 hours per week.

Responsibilities include:
  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and re-ordering supplies.
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using QuickBooks, word processing, spreadsheet, database, or presentation software.
  • Answer telephone, screen and forward calls, providing information, taking messages and scheduling appointments.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • File and retrieve corporate documents, records, and reports.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Prepare responses to correspondence containing routine inquiries.
  • Perform general office duties such as ordering supplies and maintaining records management systems.
  • Prepare digital dictation of requested recordings.
  • Make travel arrangements for executives.

Employment Standards:

Education - High school diploma or equivalent required.
Experience - 3 to 5 years related experience.
