JOB SUMMARY

The Administrative Assistant plays a vital role in ensuring the smooth operation of daily administrative tasks. Responsibilities include managing schedules, handling communications, preparing documents, and maintaining organized records. Strong organizational skills, attention to detail, and ability to multitask contribute to the team's efficiency and success. Professionalism and a proactive approach help create a well-structured and supportive work environment.

ESSENTIAL FUNCTIONS
  • Answers all in-coming calls and directs them to recipient or voicemail or gives caller appropriate information.
  • Welcomes all guests and directs them to appropriate personnel.
  • Receives deliveries and incoming mail. Sorts and distributes to correct personnel.
  • Maintains office supplies and orders as necessary with approval of supervisor.
  • Maintains outgoing mail and postage system.
  • Maintains filing systems. Files copies of correspondence, invoices and other documents in a timely manner.
  • Maintains the appearance of the reception area and conference rooms.
  • Maintains the schedule of conference rooms.
  • Records and mails accounts payable checks.
  • Types correspondence as requested.
  • Performs copy and scan functions, creates labels
  • Completes staff correspondence through mailings.
  • Creates and maintains Company Phone list and Development Codes list.
  • Completes other duties as requested from Executive Team.
COMPETENCIES
  • Knowledge of Windows, Microsoft Office.
  • Attention to detail.
  • Ability to answer multi-line phone system.
  • Excellent customer service skills and ability to communicate well.
  • Ability to display a strong sense of urgency while maintaining a caring and thorough approach
  • Possess a genuine heart for people, prioritizing their needs and fostering positive relationships throughout the process.
WORK ENVIRONMENT

While performing the duties of this job, the employee is occasionally exposed to risk of electrical shock.

The noise level in the work environment is mild to moderate. The primary room environment contains ambient room temperatures and lighting as found in a typical office environment.
