Job Description: We are currently looking for a dependable and organized individual to join our team as a Administrative Assistant. This role is crucial to keeping our daily operations running smoothly and providing excellent communication with our clients and staff. The ideal candidate will be the first point of contact for our company and play a vital role in both administrative support and customer communication. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
Answer and direct incoming phone calls in a courteous and professional manner
Make outgoing calls, including customer collections and follow-ups
Respond to and manage incoming emails in a timely fashion
Dispatch field technicians or service personnel efficiently
Write and send proposals based on company templates and guidelines
Generate and issue accurate invoices to clients
Requirements:
Previous experience in a receptionist or administrative role preferred
Strong communication skills, both verbal and written
Comfortable with phone-based customer service and collections
Ability to multitask and prioritize effectively
Basic proficiency with office software (e.g., Word, Excel, outlook)
Have knowledge with QuickBooks Online
Highly organized and detail-oriented
Team player with a positive attitude
Schedule: Monday to Friday, 8 AM - 4:30 PM
