HealthFitness has a great opportunity for an Administrative Assistant (30 hpw) at our client site in East Hanover, NJ. The Administrative Assistant position supports the managerial and professional staff with a variety of office functions that include, but are not limited to data entry, typing, office supply ordering and inventory, assisting/substitute at front desk as needed and member relations problem solving.

Key Accountabilities
- Manages all patient records using Electronic Medical Record system and data management activities at the worksite ensuring the proper storage, retention, confidentiality of all data collected in accordance with HealhFitness requirements. Creates/updates spreadsheets on patient visits and tracking of clinic goals.Develops Power Point presentations as requested.
- Provide excellent customer service to patients including new patient intake, scheduling for staff and patients, and addressing patient concerns.
- Responsibilities include office supply inventory/ordering & staff uniform ordering, internal record keeping, general mailings, staff business cards/nametag ordering, daily mail distribution, and coordinating promotional material distribution.
- Maintains updates/printing of patient forms, ensuring an adequate supply is available at all times.
- Provides front desk duties along with administrative and staffing support for internal programs and special events, including marketing materials.
- Other duties as needed/assigned
Minimum Requirements
- Associate's Degree in a business related field plus two years of related experience OR an equivalent combination of education and experience.
- Strong computer and typing skills including proficiency in Microsoft Office programs including at minimum Word, Excel, Outlook, and Power Point.
- Strong interpersonal and customer service skills including the ability to motivate others.
- Excellent verbal and written communication skills including spelling, punctuation, and grammar.
- Ability to effectively organize and prioritize work demands.
- Ability to work effectively with all levels of individuals both within HealthFitness and the client organization.
