JOB SUMMARY

We are seeking an Administrative Assistant to be the lead staff support for the Comprehensive Division at the Duke Eye Center.This position is responsible for managing staff, oversight of the division and day to day operations of the division.Experience managing employees is strongly preferred and experience in a clinical/medical office setting is required.

JOB DUTIES AND RESPONSIBILITIES
  • Supervise staff assistants/provider support assistants - manage workflow, approve timecards, manage vacation requests, and oversee staffing needs of the division.
  • Manage triage schedules, division call schedules and manage coordination of fellowship programs.
  • Answer telephone, take and deliver messages to physicians and staff.Report obtained medical information from patients and referring physicians accurately, completely and timely.Disseminate messages according to practice communication standards.
  • Perform clerical and typing tasks involved in processing varied office materials such as form letters, requisitions, memoranda, and reports or summaries.
  • Schedule or arrange activities effectively; make and confirm travel arrangements as necessary; make appointments.

  • Performs various appointment and access-related duties to include, but not limited to, scheduling, canceling, rescheduling, general appointment information, and directions.
  • Coordinate services across multiple Duke Health locations, departments and providers.
  • Send and collect referrals, patient records, and other documentation as requested by provider(s).
  • Professionally and effectively, communicate verbally and in writing with patients, referring providers, colleagues, and Duke providers.
  • Utilize multiple technology applications and systems to perform scheduling tasks such as Maestro Care (Epic).
  • Oversight of credentialing within the department, along with assisting of coordination of lectures within the division.
JOB ELIGIBILITY REQUIREMENTS
  • High school education or equivalent.
  • Two years of administrative support experience of increasing variety and/or complexity.

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
