Closing Date: Open Until Filled This position is Administrative Assistant to the Athletic Director, full-time & 12 months of year year. $16.00/hr with benefits and paid time off.
Position Objective
The Athletic Director's Administrative Assistant provides assistance in the implementation and coordination of District athletics and activities to help ensure high quality programs.
Essential Functions:
- Types all rosters and athletic schedules (including all tournaments)
- Types all correspondence regarding tournament schedules, directions, memos to coaches, code letters, etc
- Prepares money and ticket sales for games
- Writes checks for all athletic events (officials, bench officials, security, ticket sellers, etc.)
- Handles athletic accounts and pays bills for activity accounts
- Types all IHSA correspondence
- Handles all post-season ticket sales and reports
- Types athletic eligibility
- Types and distributes all information to coaches from the Athletic Director
- Types bus schedules for athletic contests
- Assists in scheduling officials and umpires
- Answers incoming calls and assists with official and scheduling questions
- Assists in writing contracts
- Assists in picking up trophies and other tournament supplies
- Assists in fall, winter and spring mailings
- Assists with athletic payroll of employees
- Assists with athletic department purchase orders and accounts
- Helps with Awards Night preparation
- Schedules ticket takers and other game workers
- Letter senior plaques and helps with ordering supplies as needed
- Assists with Booster Club
- Helps manage Schedule Star, athletic website, and Trip Direct software
- Calls and communicates with all schools daily regarding scheduled games
- Runs weekly eligibility checks on PowerSchool
- Maintains strict confidentiality of all office, school, and personal information

Qualifications:
- High School Diploma or GED
Competencies:
- Proficient in typing, filing, copying and other clerical functions
- Proficient in standard office software applications
- Excellent interpersonal communication skills. Able to communicate effectively with staff at all levels and the general public
- Able to prioritize efforts in order to achieve a student-focused solution
- Ability to read, write and speak the English language
