POSITION SUMMARY:
Provides administrative support to the Dean of Enrollment, and may also complete tasks to support the Admissions Directors. Regular meetings with the Dean of Enrollment will support prioritization of work and will ensure timely support can be provided for upcoming deadlines and tasks.
The Administrative Assistant will maintain an inviting and professional office demeanor, with the ability to promote efficiency while striving to anticipate needs and provide appropriate supports and responses. Excellent writing ability, clear communication style, nd willingness to show initiative is valuable to this role. Candidates should be comfortable receiving and acting upon direct and candid feedback. A can-do attitude, attention to detail, speed and comfort with computers, data and Google work platform and processes, and the ability to multi-task, and be flexible with shifting priorities are candidate qualities that will make this position enjoyable. DUTIES AND RESPONSIBILITIES:
• Manage calendars and appointments for the Dean of Enrollment
• Prioritize and respond to email
• Follow up on tasks and requests from other campus offices with input from the Dean
• Complete payment requisitions and other invoice processing
• Manipulate and utilize Excel datasets, pivot tables, and formulas to prepare data reports and provide basic data analysis
• Adhere to and support protocols for maintaining confidentiality of student records
• Manage communications by email, phone, and participate in occasional in-person meetings
• Assist with meeting agendas, taking, refining, and maintaining meeting notes, and distributing to necessary individuals/offices
• Coordinate meetings, catering, space arrangements and electronic needs for staff meetings,
outreach/informational events as needed
• Provide occasional Admissions front desk support
• Work cooperatively with additional Admissions team members and all non-ES department staff to maintain a positive and productive work environment.
• Perform additional duties as required
QUALIFICATIONS:
PREFERRED QUALIFICATIONS
• Experience supporting a Dean or equivalent role in a higher education setting
• Copywriting and/or experience working with marketing teams
• Willing to show initiative while also willing to complete basic tasks while maintaining a support role
REQUIRED QUALIFICATIONS:
• 2-3 years of experience working in reception or guest services
• Excellent written communication skills, for letters, email and with attention to grammar
• Effective interpersonal communication (written and verbal) and ability to maintain confidentiality
• Experience with Excel software including pivot tables, sorting, formula building and templates
• Experience with Google Office platform; Google Sheets, Google Calendar, Google Email, Google Docs and related editing/comment tools
• Collaborates and works well with diverse individuals with differing needs;
• Excellent organizational, time management, and problem-solving skills
• Excellent customer service, general office skills and attention to detail
WORK ENVIRONMENT: This job operates in a professional office and college campus environment. The noise level in the work environment is usually quiet-to-moderate. The employee is occasionally exposed to outside weather conditions. Employees will comply with a business casual dress code. A remote work agreement is available for working 2 days remote and 3 days in office, at the midtown Detroit campus, with the approval of the Dean of Enrollment.
PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this Job, the employee is regularly required to maintain a stationary position, use a computer and other office equipment, and communicate effectively in person, by phone, and virtually. Frequent interaction with others, including staff, faculty, students and third parties is required. The employee may occasionally be required to move files or other objects weighing up to 25 pounds, including from low and high places. The ability to move around within the office and between buildings on campus, and travel between Ford Campus site to Taubman Center site are required.
