Job Summary: Sandestin Golf & Beach Resort is seeking a detail-oriented and organized Administrative Assistant to support the Rental Sales Management team. This position plays a key role in providing administrative, clerical, and operational support to ensure the efficient onboarding of vacation rental properties into the resort's rental program. The ideal candidate thrives in a fast-paced, team-oriented environment and demonstrates exceptional communication and time-management skills.
Property management experience is a plus.
Essential Duties and Responsibilities: - Provide day-to-day administrative support to the Rental Sales Management team
- Assist with the processing and preparation of contracts, owner agreements, and related documentation
- Maintain accurate files, digital records, and databases for rental properties
- Coordinate with internal departments to facilitate the seamless onboarding of new properties
- Schedule meetings, property walkthroughs, and other appointments as directed
- Respond to owner inquiries via phone and email in a professional and timely manner
- Compile and distribute reports, presentations, and other materials as needed
- Assist in monitoring inventory and status updates of rental units
- Track deadlines and follow up on outstanding documentation or tasks
- Maintain confidentiality of sensitive information and uphold the integrity of owner relationships
Qualifications: - High school diploma or equivalent required; associate degree or higher preferred
- Minimum of 2 years of administrative or office support experience
- Experience in property management, real estate, or hospitality a plus
- Strong organizational and time-management skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Excellent verbal and written communication skills
- Ability to manage multiple priorities with a high level of accuracy and attention to detail
- Strong customer service skills and ability to interact professionally with property owners and internal teams
Physical Requirements: - Must be able to sit, stand, and walk for extended periods of time
- Ability to lift up to 25 pounds occasionally (e.g., lifting files, promotional materials)
- Use of hands and fingers to operate a computer keyboard, mouse, and telephone
- Occasional travel within resort property for meetings or property visits
- Ability to work in a standard office environment and occasionally in outdoor resort settings
Work Environment: This position operates in a professional office setting located at Sandestin Golf & Beach Resort. The role may require occasional visits to resort properties and interaction with various internal departments and guests.
