Description

Position Summary

Performs complex administrative and confidential support functions to assist the Administration Department in accomplishing the administrative functions of the department. Uses judgement and initiative to perform a variety of tasks involving office management, data processing, secretarial and administration for the department. The duties listed below illustrate the various types of work that may be performed. Essential Job Functions

Essential functions for this position relate to the responsibility of oversight of accounting functions of assigned properties, companies, and personnel including but not limited to:
  • Assists in the day-to-day operations of the Administration Department.
  • Acts as the point of contact for internal and external stakeholders, relays information effectively, and maintains clear communication channels.
  • Handles administrative tasks such as answering multi-line telephone in a courteous manner and taking messages, transfering calls to voicemail, refering calls to other employees or departments as appropriate, or answering questions within area of expertise and within parameters defined by the Administrative Services Manager.
  • Provides assistance to the Administrative Services Manager to ensure overall departmental efficiency by composing, preparing, setting up, and proofreading confidential correspondence.
  • Generates agreements, summaries, memoranda, statistical tables, presentations, letters, newsletters, calendars, forms, and reports from verbal direction, relevant information from a variety of sources, and/or knowledge of Authority policy and procedures and presents the information in a clear and understandable format.
  • Receives communications via the telephone, internet, fax, and in person and elicits sufficient facts and details to clarify indefinite or obscurely stated requests. Exerts maximum effort to provide informatiion to requester within area of expertise and parameters defined by supervisor.
  • Effectively uses word processing and other applicable software and hardware to accurately type, format, revise material such as correspondence, reports, statistical tables, and forms from rough draft, corrected copy, or previous version displayed on screen.
  • Reads instructions accompanying material or follows verbal instructions to determine format desired, number of copies needed, priority, and other requirements.
  • Proofreads documents and marks for correction any grammatical, typographical, or compositional errors.
  • Records and transcribes minutes of departmental/staff meetings and sends to appropriate individuals in a timely manner.
  • Ensures privacy and maintains security of confidential materials. Maintains appropriate files/records for general correspondence, contract documents, agreements, legal documents, awards, financial reports, and general reports in an accurate and timely manner.
  • Receives, date-stamps, opens, sorts, and routes all incoming mail, faxes, internal memorandums and other publications.
  • Prepares outgoing mail and ensures professional appearance in accordance with company standards by proofreading, printing, assembling, and mailing as required.
  • Responsible for ordering, receiving, and maintaining and organizing office supplies in a timely manner.
  • Assist with organizing company events, meetings, or conferences, including logistics and venue preparation.
  • Handles special projects as directed by management and coordinates office activities.
  • Accountable for consistent adherence to strong Authority standards regarding the ethical, responsible, and appropriate use, care, and safeguarding of Authority materials, supplies, resources, and other assets.
  • Undertakes and performs other work-related duties as assigned including work in other functional areas to cover absences or provide relief, to equalize peak work periods, or otherwise balance the workload.

Position Requirements

QUALIFICATIONS

Associate's Degree strongly preferred, with three to five years of Office Management/Administrative Assistant experience in a corporate office environment.

Excellent computer skills (including Microsoft Office Suite experience) is required.

Familiarity with basic accounting or financial practices preferred.

Experience with project management is highly desired.

Ability to interface with all levels of management and professionals.

Good knowledge of general office practices and procedures, including business English and arithmetic.

Good skills in operating computer equipment, applicable company software, and general office machines.

Ability to communicate clearly, concisely, orally and in writing.

Ability to deal effectively with sensitive and confidential information.

Ability to understand and follow moderately complex written and oral instructions.

Valid driver's license and good driving record.
