The Administrative Assistant is responsible for being a proactive and highly organized individual to support our executive team. The position will play a crucial role in ensuring the smooth and efficient operation of our executives' daily activities, long-term projects, and internal collaboration across shared services' team leads. The ideal candidate will be detail-oriented, possess strong organizational and communication skills, and thrive in a fast-paced environment.

Key Responsibilities:
  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prioritize incoming requests and ensure timely responses.
  • Prepare and edit correspondence, communications, presentations, reports, and other documents.
  • Attend meetings, take minutes, and distribute meeting notes and action items.
  • Handle confidential and sensitive information with discretion.
  • Conduct research and compile data as needed upon request.
  • Monitor and manage executive's expense queues and travel requests for approval.
  • Serve as a liaison between executives and internal/external stakeholders.
  • Manage special projects and initiatives as assigned.
  • Monthly management and ownership of executive credit card reconciliation.
Qualifications:
  • Minimum of 5 years of proven experience in an executive assistant or a similar role, with at least 2 years in a senior or leadership position.
  • Proficient in SalesForce, WorkFront, WorkDay, and MS Office Suite
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize tasks effectively.
  • Use of discretion and confidentiality.
  • Bachelor's degree preferred but not required.
  • Experience in handling executives' calendars and travel arrangements is a plus.
  • Excellent verbal and written communication skills.
