The Ohio State University College of Dentistry seeks an Office Administrative Associate to join its Division of Dental Public Health. The Dental Public Health Program aims to equip students with the knowledge, skills, and experiences necessary to address oral health disparities and improve community oral health.
This position requires strong organizational, communication, and problem-solving skills in a fast-paced academic and public health environment. The successful candidate will be flexible by not only playing a key role in supporting the Division's mission to advance dental public health education, research, and community engagement, but also providing assistance to the Dean's office as needed. Responsibilities include:
- Provide administrative assistance to the Division Chair, faculty, and staff, and well as the Dean's office as needed.
- Manage the Chair's schedule, meetings, and travel.
- Handle routine and non-routine administrative tasks with minimal supervision.
- Maintain records, budgets, and confidential documents.
- Prepare reports, presentations, and financial documents.
- Maintain a professional, organized workplace.
- Support the execution of Division goals and deadlines.
- Represent the Chair and Division in internal and external communications.
- Research and analyze policies, programs, and procedures.
- Assist with program planning and organizational leadership.
- Coordinate travel, meetings, and division events.
- Provide administrative support faculty and staff in community-based education and research.
- Assist with outreach event scheduling, logistics, communication, and documentation.
- Assist faculty with course materials, syllabi, and exam coordination.
- Maintain schedules for Division classrooms and conference spaces.
- Provide tech support for faculty in classrooms.
- Promote Division programs and partnerships through print and digital media
The targeted hiring pay range is $20.53 - $27.36 hourly
This position requires successful completion of a criminal background check and drug and alcohol screening.
Work Schedule: Monday - Friday, 7:30am - 4:30pm
Physical Requirements: Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions. This position requires sustained periods using a keyboard and performing other computer work. Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
Experience and Education Qualifications:
Required: High School diploma or equivalent and 2 years' experience in an administrative assistant or office manager role with demonstrated ability to work independently with minimal supervision; excellent written and verbal communication skills; proficiency in Microsoft Word and Excel with the ability to create complex spreadsheets and documents; experience with Microsoft Power Point and the creation of professional presentations.
Desired: Associate degree and 4 years' experience. Work experience in an academic environment
