What You'll Do- Support administering contracts with global vendors, and service providers
- Manage North American Group Purchasing Organization relationships
- Maintain adequate levels of laboratory and office supplies
- Ensure that Global Lab Department policies are followed and understood by all personnel
- Responsible for coordinating the reporting on consumables
- Provide Executive Administrative Support to VP Global Lab Services, Executive Director, Lab Operations, and Global Medical Director
- Perform Ad Hoc Initiatives under the direction of the VP Global Laboratory Services
- Independently organize, compose, proofread, format, edit, and produce professional letters, reports, presentations, binders, marketing materials, newsletters, or other complex documents for internal and external use
- Maintain calendars and schedule meetings, departmental activities, conferences, and travel
- Arrange / organize / coordinate meals for meetings, departmental activities, conferences etc
- Prepare agendas, record minutes at designated meetings; prepare and distribute as appropriate
- Receive and transfer phone calls, take appropriate messages
- Coordinate incoming information from multiple sources; prioritize and organize action items
- Act as liaison communicating with staff and clients in professional manner
- Prepare and review tracking and expense reports
- Process invoices and assist with billing
- Maintains filing systems; Assist with document filing, shipping, and tracking
- Cover front reception desk as needed
- Receive, sort, prioritize, route, and respond to mail as directed
- Train other administrative staff
What You Bring- Proficient in MS Office suite and office equipment
- Ability to prioritize and multi-task in fast-paced environment
- Strong attention to detail and organizational skills

- Demonstrate excellent research and problem-solving skills
- Ability to work independently with considerable discretion, judgment, and tact
- At least 3 years administrative assistant experience
- High School Diploma
- Experience assisting upper-level management preferred
- Previous laboratory or CRO experience preferred
