Administrative Assistant We are seeking a highly organized and proactive Administrative Assistant to support our client's executive leadership team. This role is essential in ensuring smooth day-to-day operations and effective communication across internal and external stakeholders. This is a Contract to Hire opportunity located downtown Chicago.
Responsibilities: - Coordinate and manage executive communications, including phone calls, emails, and meeting logistics.
- Serve as a liaison between executives and clients or internal teams, representing leadership with professionalism.
- Maintain and manage complex calendars, including scheduling meetings, travel arrangements, and events, while resolving scheduling conflicts using Outlook.
- Prepare and submit expense reports through the Concur system.
- Attend high-level meetings with senior executives to manage agendas, take detailed notes, track follow-ups, and collaborate with stakeholders on meeting content.
- Act as a go-to resource for the team by independently resolving issues, sharing knowledge, and leveraging internal networks.
- Support project execution by tracking deadlines and ensuring executives are prepared for all engagements.
- Handle sensitive and confidential information with discretion and integrity.
- Take on ad hoc projects and provide overflow support as needed, including cross-coverage for other executive assistants.
Required Qualifications: - Bachelor's degree or equivalent experience.
- Minimum of 3 years supporting executive-level leadership.
- Advanced proficiency in Microsoft Office, especially PowerPoint, Excel, and Outlook.
- Strong organizational and multitasking skills with a keen attention to detail.
- Excellent communication and interpersonal skills with a professional and approachable demeanor.
- Ability to work onsite in the Chicago office full-time, with flexibility for extended hours or occasional remote work as needed.
- Experience using SAP Concur for travel booking and expense processing.

- Pay is $22-$27 an hour, depending on experience
