The Law Department is organized into eight practice areas: Investigations, Freedom of Information Act Office, Labor & Employee Discipline, Labor Relations, Litigation, Policy & Procedures, School Law, and Transactions. We manage a diverse range of legal matters reflecting the complex needs of a large urban school district.

Job Summary:

Reporting to the Executive Director for the Office of Administrative Hearings, this position supports the critical functions of both the Legal Investigations Unit (LIU) and the Office of Administrative Hearings (OAH). LIU is responsible for investigating employee misconduct and related incidents reported to CPS. The Office of Administrative Hearings (OAH) ensures compliance with legal and contractual requirements through the administration of employee grievances, collective bargaining agreements, Board policies, and employee discipline, including managing discipline hearings and investigating union grievances.

The Administrative Assistant will be held accountable for the following responsibilities:
  • Track, log, and maintain electronic employee discipline documents in personnel management and case management systems, and manage the administrative hearings inbox.
  • Conduct thorough searches of employee discipline records and fulfill reference checks, and redact investigative reports and hearing documentation in accordance with applicable laws and office practices.
  • Track, log, and process ineligibility for rehire removal petitions
  • Oversee the filing and tracking of referrals (DCFS notices, OIG, EOCO, OSP) within the designated tracking system, ensuring compliance with internal deadlines.
  • Assist in the review, editing, and refinement of written investigative reports, ensuring clarity, accuracy, and professionalism.
  • Other duties as assigned
In order to be successful and achieve the above responsibilities, the Administrative Assistant must possess the following qualifications:

Education Required:
  • High school diploma or GED equivalent.
  • Bachelors from an accredited college or university preferred
Experience Required:
  • Minimum of three (3) years of experience in positions emphasizing strong organizational, documentation, and administrative skills, with preference given to candidates with experience in an investigative, compliance, or legal setting.
  • Prior experience in educational setting (K-12) preferred.
Knowledge, Skills, and Abilities:
  • Proficiency in MS Word, MS Excel, MS PowerPoint, Google Workspace applications, LawTrac and desire to learn additional CPS programs.
  • Strong technology knowledge of databases and use of software.
  • Analytical skills preferred.Possesses a strong sense of integrity in all aspects of how they conduct themselves.
  • Strong communicator; speaking, listening and writing.
  • Demonstrates a sense of urgency in accomplishing goals and objectives to ensure success.
  • Exceptional organizational skills with the ability to multitask effectively and maintain attention to detail.
  • Sound judgment in maintaining confidentiality, with a clear understanding of what constitutes protected or confidential information.
Conditions of Employment:As a condition of employment with the Chicago Public Schools (CPS), employees are required to:

Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
