Located within the CPS Talent Office, the School Support Center team provides one-stop support for CPS school leaders and managers for all HR-related needs, including guidance, timely technical assistance, and executive consultation. With efforts including improvements to online systems and seamless transitions from one school year to the next, this team helps to support and empower employees through all stages of their Chicago Public Schools (CPS) careers.

Under the supervision of the Training Manager, the Administrative Assistant will support the organization of training and development programs for school-based and central office staff. This position will assist with strategic communications regarding training programs, preparatory and "behind the scenes" work to ensure training runs smoothly, such as creating training course schedules, and timetables and updating/loading the written and visual training materials used by trainees. The Administrative Assistant will also enroll, assign and ensure the completion status of required safety and compliance training courses, and perform various administrative duties in support of the team.

The Administrative Assistant will be held accountable for the following responsibilities:
  • Use the ServiceNow database to track, manage and respond to user experience inquiries
  • Support and participate in the evaluation and quality assurance review of training content
  • Develop and update standard operating procedures (SOPs) for the successful delivery of training in a variety of formats, including online, virtual and instructor-led courses
  • Work collaboratively with the Training Specialist to manage safety and compliance tools, resources, job aids for both in-house and outsourced training
  • Responsible for the testing of content, maintenance, and updating of the training platform
  • Utilize adult learning theories and practice to foster an environment that is conducive to adult learners.
  • Track and manage the onboarding process for all custom and off-shelf courses on the district learning platform, including loading courses onto learning platforms, assigning courses to staff based on role requirements, launching courses and ensuring outgoing automated messaging is up to date
  • Provide clerical and administrative support related to the delivery of training (ex: assist with editing PowerPoints presentations); assist other departmental groups with calls, emails, or other customer service related tasks
  • Perform additional duties as assigned
To be successful and achieve the above responsibilities, the Administrative Assistant must possess the following qualifications:

Education Required:
  • High school diploma or GED equivalent required
  • Bachelor's degree from an accredited college or university preferred
Experience Required:
  • Minimum of 3 years of experience in scheduling, coordinating and planning in-person and virtual instructor-led training events, or completing relevant work in support of similar activities
  • Experience with Google Suites, PowerPoints, Surveys, Sheets
Knowledge, Skills, and Abilities:
  • Strong time management and problem solving skills; highly organized with keen attention to detail
  • Excellent interpersonal, verbal and written communication skills
  • Flexible and adaptable to change; capable of success as a collaborative member of a team or working independently with minimal supervision
  • Results-driven self-starter that demonstrates initiative and produces high-quality work

Conditions of Employment

As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
  • Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions.
  • Be Fully Vaccinated or Submit to Weekly COVID-19 Testing - Employees are required to be fully vaccinated within 30 days of their hire date. Full vaccination is defined as at least two weeks after your second shot of a two-shot vaccination course, or at least two weeks after a one-shot vaccination course. Unvaccinated staff must submit to weekly testing.

CPS Non-Union Job Grade: S04
Estimated Annual Salary Range: $42,000 - $54,000 (Note - this is a non-exempt position)
Final salary offers are dependent upon candidate qualifications.
