Sigma, Inc is looking for an Administrative Assistant to work onsite with our client in Chelsea, MA.

This is with Commonwealth of MA and Executive Office of Technology Services and Security. Will be required to work onsite at 200 Arlington Street.

Description : The Administrative Assistant provides administrative support in all aspects of office management within the Office of Facilities Management and Decarbonization (OFMD) location at the Massachusetts Information Technology Center (MITC).

Duties and Responsibilities:
  • This position works under the direction of the MITC Facility Manager. He/she schedules appointments and maintains calendars, files, records and databases. The Administrative Assistant performs office administrative functions as required, both solely and as part of a team.
  • The administrative assistant coordinates and tracks service requests, building occupant concerns, and work orders through the Capital Asset Management Information System (CAMIS), a facilities management database integral the duties of this position.
  • The incumbent is responsible for all aspects of CAMIS and other systems in regard to information gathering, data entry and maintenance and report preparation. The Administrative Assistant also provides assistant in general office functions, and greets guests
  • Receive, coordinate and disseminate requests, both internal and external, to appropriate DCAMM staff for resolution.
  • Process work order requests and tenant complaints through CAMIS.
  • Prioritize, organize and expedite the flow of work including scheduling appointments and coordinating necessary arrangements for meetings and conference rooms.
  • Compose letters, correspondence, reports, financial and budgetary forms, etc. Inform and interpret policies and procedures to building customers and employees.
  • Communicate effectively with building contractors, maintenance personnel and cleaning supervisors.
  • Maintain confidential records and files.
  • Coordinate the handling of records to be archived including: entering the information into the system, inventorying and labeling records, preparing standard request forms and coordinating retrieval of records on an as-needed basis.
  • Act as liaison to the IT Helpdesk.
