Hours/Schedule: Monday to Friday, 8:00 AM - 5:00 PM (Onsite)


Position Overview:

We are seeking an experienced and proactive Administrative Assistant to provide essential support to the leadership team. This role involves managing schedules, organizing meetings, and handling daily administrative tasks to ensure smooth and efficient operations. The ideal candidate will have a minimum of three years of administrative experience and a strong ability to manage multiple tasks and work independently.

Key Responsibilities:

  • Manage executive's email, calendar, and appointments to facilitate efficient time management.
  • Serve as a point of contact between the executive and external stakeholders, handling communications via phone and email.
  • Coordinate meetings, prepare agendas, take meeting minutes, and follow up on action items to ensure timely execution.
  • Prepare and edit documents, proposals, presentations, and other materials to support leadership initiatives.
  • Assist in planning and executing various projects, ensuring deadlines are met and daily schedules are managed.
  • Handle sensitive information with discretion, maintaining confidentiality at all times.
  • Assist with organizing company events, conferences, and team-building activities to strengthen company culture.
  • Prioritize and manage multiple tasks to effectively support the executive's needs.
  • Perform additional administrative duties as required.

Required Qualifications:

  • Minimum of 3 years of experience in office administration.
  • Proficiency in Microsoft Office, including MS Excel and MS Word.
  • Strong relationship-building skills with clients and stakeholders.
  • Ability to work independently and as part of a team.
  • Strong verbal and written communication skills.
  • Problem-solver, self-starter, and adaptable to changing priorities.
  • Excellent organizational and multi-tasking skills.

Preferred Qualifications:

  • Bilingual.
  • Experience in accounting/billing or familiarity with financial processes.
  • Previous experience in construction, landscaping, or a related field.
