Position: Administrative Assistant Location: Charlotte, NC (On-site)
Classification: Contract-to-hire; Part-time (28 hours per week)
Position Overview: The Administrative Assistant for Outreach and Mission Ministry provides essential administrative and logistical support to the Outreach and Mission team. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks while maintaining effective communication with volunteers, community partners, and parish members.
Qualifications: - Associate degree or higher, with at least three years of office administration experience.
- Strong written and verbal communication skills, including professional phone etiquette.
- Ability to work collaboratively and effectively in a dynamic, fast-paced environment.
- Highly organized, detail-oriented, and able to manage multiple priorities.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Teams); experience with Realm preferred.
- Familiarity with liturgical programs is a plus.
Primary Responsibilities: Event Coordination & Logistics: - Organize registrations, communications, and logistics for Outreach and Mission events, including:
- Trips:
- Coordinate registrations, reservations, and payments.
- Work with travel agents to arrange flights.
- Assist in scheduling mission work and activities.
- Communicate with trip participants and manage necessary documentation.
- Service Work with Community Partners:
- Manage event registrations and send reminders.
- Update and maintain records in Realm.
- Serve as a secondary liaison to partner agencies and volunteer coordinators.
- Arrange supply deliveries as needed.
Communications & Outreach Support: - Maintain and manage sign-up platforms (SignUpGenius, Realm) for various programs.
- Support Sunday School/Educational Offerings by coordinating presentations, reservations, and supplies.
Administrative & Team Collaboration: - Attend weekly staff, program, and facilities meetings.
- Provide front desk phone coverage as scheduled.
- Support staff with office equipment and supply needs.
Content & Publications Management: - Contribute to and proofread news and notices and other publications related to events.
- Submit event details and updates and ensure web content is current.
