Summary:The Curriculum Administrative Assistant provides assistance and support to the district administrator(s), administrative team, superintendent and school board to assure the effective and efficient operation of the district.? The Curriculum Administrative Assistant is responsible for the processing and maintenance of confidential and non-confidential correspondence of the District Administrators.? The Curriculum Administrative Assistant assists the Directors of Elementary and Secondary Curriculum,?and?the Grant Administrator with the maintenance of records,?filing of reports and ensures absolute confidentiality of information, files and records.? The Curriculum Administrative Assistant provides complex administrative support and technical program assistance.? Work involves triaging and routing policy calls, parent and staff calls, disseminating information, maintaining filing systems, routing documents for approval and performing internal administrative support work.?
Essential Duties and Responsibilities:?Other duties may be assigned.?
- Regular and reliable in-person attendance is an essential job function.?
- Provides direct support to Director of Elementary Education, Director of Secondary Education, and Grant Coordinator.? Assists Director of Student Services and others as directed.?
- Processes, records and maintains records of workshop/conferences for professional staff.? Processes substitute requests for workshops/conferences.? Assigns accounts to charge for workshop/conference absences.? Processes/maintains records of purchase orders for workshop/conferences.? Verifies information with payroll department.?
- Coordinates, tracks, maintains records and verifies professional staff professional development hours needed for certification renewals?to include serving as SCECH coordinator.
- Maintains records of Curriculum Council attendance, types/distributes minutes from meetings.?
- Coordinates and tracks flow of information related to other curriculum committees.?
- Prepares or directs preparation of minutes, newsletters, notices, manuals, agendas and correspondence will all supporting documentation, requiring application of a specialized knowledge of the assigned function.?
- Generates reports - researches, summarizes and analyzes information; calculates statistics and compiles data to prepare special and recurring reports containing specialized or sensitive information following supervisors, general direction. Selects relevant information for a variety of sources.?
- Maintains textbook and resource database for district, processes requests for textbooks.?
- Maintains the curriculum department budget and works with the Business Office to plan for expenditures and budget allocations.
- Assist with records maintenance of?assessments.? Add/update student records when requested.?
- Assist Directors of Elementary/Secondary Curriculum with?AdvanceED?records and reports.?
- Coordinates, registers and maintains records of summer school students.? Work with staff and other departments to assure the program success.?
- Act as Anchor Bay School District Bilingual contact with the Macomb Intermediate School District.? Attending meetings, maintaining/updating ESL student records; screening new students, processing information in PowerSchool to add them to the Michigan Secure Site, verifying student information for spring testing, maintaining records on students receiving services, monitoring grades/progress for students on the two-year monitor list, maintaining all records related to the district ESL students.
- Provide training and procedure updates to identified district professional staff who screen and test district ESL students.?
- Act as liaison between MISD Bilingual Tutors and district.?
- Marketing and Communications liaison with others in the creation, review, proofread/edit and dissemination of district marketing materials.? Maintain records of such communications.?
- Be able to work independently and within a team environment to benefit the students, personnel and Anchor Bay School District.?
- Perform other professional duties deemed necessary and requested by the administrative team.
