Job Title: Administrative AssistantJob Description

We are seeking an organized and detail-oriented Administrative Assistant to provide essential support to the manager with daily tasks. The role involves handling various administrative duties, including data entry, document management, and client communication.

Responsibilities
  • Provide administrative support to the manager on day-to-day tasks.
  • Print W0-2/ACA print stream paperwork and sleeve jobs with live file listings.
  • Monitor and track UAT testing results using Excel.
  • Review CD Archives by opening and checking each one with a CD disk drive reader.
  • Gather and ship all items going out to clients daily using shipping reports by the CE team.
  • Enter tracking numbers and shipping costs back into the system daily.
  • Assist and balance postage in the print stream for invoices.
  • File, fax, and scan all necessary documents to the correct managers promptly.
  • Handle additional administrative tasks as needed or requested.
  • After 2-3 months, handle responsibilities for someone going on maternity leave, including:
  • Day-to-day client communication.
  • Attend daily standup team meetings.
  • Receive data instructions and project specifications and convert them into instructions for the operations team.
  • Monitor inventory, communicate replenishments, and work on reorders with procurement.
  • Act as a liaison between procurement, customer service, and print center teams.
  • Research client requests, identify errors, make corrections as needed, and find resolutions for customers.
  • Assist with any reporting needed for internal teams and customers, and respond in a timely manner to internal and external teams.
  • Handle any other tasks provided by the manager.
Essential Skills
  • 2+ years of experience in administrative support.
  • 2+ years of experience in data entry support.
  • Proficiency in Microsoft Excel and Outlook.
  • Strong tracking and reporting skills.
Additional Skills & Qualifications
  • 2-7 years of relevant experience.
  • Bachelor's degree preferred but not required.
  • Experience in manufacturing preferred.
Work Environment

This position is onsite for 5 days a week, with standard hours from 8am to 5pm, although start times can be flexible between 7am and 9am. The work environment is business casual, and the company culture promotes a family feel with a supportive atmosphere. Benefits are available if the position becomes permanent, including BCBS.

Pay and Benefits

The pay range for this position is $20.00 - $22.00/hr.
