Job Description

GENERAL SUMMARY:

Under the general guidance of the Director of Operations, performs a wide variety of administrative support activities and clerical tasks. Performs the duties of receptionist, word processing, records management and maintains web page for the Authority.

PRIMARY DUTIES AND RESPONSIBILITIES:

  1. Performs word processing, organizes and copies many types of documents.
  2. Answers incoming phone calls, provides information as requested and routes calls to the proper person or voice-mail. Also, greets and registers visitors to the main office.
  3. Schedules meetings and activities and prepares and assembles any related meeting documents.
  4. Word processes the monthly Board Meeting agenda, minutes, requests for board action sheets (RFBA) and any supporting documents. Assembles the Board meeting packets and performs other Board meeting tasks as required.
  5. Organizes and maintains the records of the Authority.
  6. Types up Minutes after Board meetings and updates web page with most current approved/signed minutes and synopsis of current meeting.
  7. Maintains petty cash funds.
  8. Processes incoming and outgoing mail.
  9. Maintains tickler file.
  10. Maintains necessary office supply inventories including reordering stock levels.
  11. Assists in data collections for specific projects.
  12. Gathers information and documentation for Freedom of Information Requests.
  13. Contact Townships end of the month to get their New Business Reports. When received complete the current months spreadsheet and determine if a declaration form is required to be sent to the new business. Send monthly reports to YCUA. Also follow up on declaration forms sent out.
  14. Update Synopsis on webpage after each Board meeting along with uploading current approved minutes. Also update Web page as needed.
  15. Update online phone information as needed.
  16. Monthly reports to Townships and pertinent consultants.
  17. Scans/files pertinent documents into computer.
  18. Send SSO memos to required township and county employees within 24 hours of an SSO event.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:
  • High-school diploma or GED equivalent.
  • Minimum of four years of related work experience, necessary to be proficient, in word processing, records management, phone call processing and general office duties.
SKILLS REQUIRED:
  • Interpersonal and communication skills necessary to interact with the public, staff, and member communities.
  • Ability to efficiently operate a personal computer, calculator, adding machine and other office equipment.
  • Strong personal computer skills and ideally will possess a basic understanding of bookkeeping.
  • Ability to follow oral and written instructions and to carry out assignments through to completion without close supervision.
WORKING CONDITIONS:
  • Normal office environment with little discomfort due to heat, dust, noise and the like.
  • Occasional sitting in one position for an extended period of time.
