We are looking for a highly organized and detail-oriented Administrative Assistant to provide administrative and clerical support to ensure efficient operation of the office. The ideal candidate will be responsible for handling a variety of tasks, including managing schedules, handling correspondence, organizing files, and supporting team members with day-to-day needs.
Key Responsibilities:
Answer and direct phone calls and emails in a professional and timely manner
Schedule meetings, appointments, and maintain calendars for staff or executives
Organize and maintain digital and physical filing systems
Prepare and edit documents, reports, presentations, and correspondence
Assist with data entry, expense reports, and invoice processing
Order office supplies and ensure equipment is properly maintained
Greet and assist visitors or clients in person or via phone/video
Coordinate travel arrangements and itineraries as needed
Support internal teams with project coordination and administrative tasks
Uphold confidentiality and handle sensitive information with discretion
Qualifications:
High school diploma or equivalent required; Associates or Bachelors degree is a plus
Proven experience as an administrative assistant or in a similar administrative role
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google Workspace
Strong organizational and time-management skills
Excellent verbal and written communication abilities
Attention to detail and problem-solving skills
Ability to work independently and prioritize tasks effectively
Knowledge of office management systems and procedures
Work Environment:
Full-time or part-time; in-office, hybrid, or remote depending on company needs
May involve occasional lifting of office supplies or materials
