Job Description:
- A successful Administrative Assistant will be efficient, detail oriented, have great communication skills, and be skilled in developing/maintaining workplace and customer relations.
Job Responsibilities: (including but not limited to):
- Maintain a well-organized and efficient office environment, with extra attention to any common areas (lobby, break rooms, conference rooms, bathrooms, etc.)
- Taking inventory of office supplies and ordering more supplies as needed
- Answer telephone calls/emails from clients/customers/vendors/etc.; directing them to relevant staff and/or help with inquiries
- Greet clients and/or other walk-ins, directing them to conference rooms (i.e. for a scheduled meeting) and/or to relevant staff
- Schedule monthly Lunch 'n Learns, assist presenters with set up and lunch orders/head counts/etc.
- Managing conference room calendars
- Pickup mail daily and manage deliveries
- Deposit checks/payments from Clients
- Manage Petty Cash, coordinate with Accounting Department when additional cash is needed
- Assist employees with inquiries and basic office tasks
- Manage printer maintenance requests, including submitting Printer Meter Readings
- Work with Human Resources (HR) Department to update and maintain any office required documents (i.e. OSHA forms postings)
- Work with Information Technology (IT) Department on office equipment/workstations
- Assist in the onboarding process for new hires
- Plan in-office site activities, like parties/celebrations/etc.
- Work with Branch Manager on coordinating with Landlord for building maintenance requests
