About the Role
As the Administrative Assistant, you will play a key role in supporting the day-to-day operations of the office. You'll assist with license processing, help coordinate meetings and communications, and provide high-level customer service to residents, businesses, and other stakeholders.

This position requires a high level of discretion, strong communication skills, and the ability to multitask across licensing, budget preparation, and public-facing administrative functions.
Key Responsibilities
  • Provide administrative support including word processing, filing, copying, scanning, and answering phones.
  • Serve as a primary point of contact for inquiries related to Town services and licensing processes.
  • Assist with the preparation of agendas, meeting materials, announcements, and mailings for the Select Board and its Licensing Panel.
  • Review and process license applications for over ten categories, including alcohol, food service, entertainment, lodging, and short-term rentals.
  • Support licensing operations through the Accela online system and update town webpages related to permits and licenses.
  • Coordinate interdepartmental inspections and follow-ups for license approvals.
  • Assist with the preparation of the town's annual financial plan, supporting the Assistant Town Administrator for Finance.
  • Ensure timely and accurate data entry, deposits, and records management.
  • Work occasional additional hours during peak license renewal or budget preparation periods.
  • Other related work as required.
Qualifications
  • High school diploma required; Associate's degree preferred.
  • Minimum of 3 years of administrative or office experience; municipal or customer service experience is a plus.
  • Proficient in Microsoft Office Suite and familiar with financial or licensing software such as MUNIS and Accela.
  • Excellent organizational skills with a keen attention to detail.
  • Strong written and verbal communication abilities.
  • Ability to work independently, manage time effectively, and maintain confidentiality.
