PRIMARY FUNCTION/PURPOSE:

The incumbent will be responsible for providing administrative and clerical support to the program and administrative staff in order to facilitate the efficient operation of the program in general. The individual will function in many instances as the first point of contact with the program, and therefore, must possess exceptional telephone manners, interpersonal skills, and above all a positive attitude.

PRIMARY RESPONSIBILITIES:
  • Responsible for all clerical duties up to and including typing, filing, calendar maintenance, meeting schedules and telephone communications.
  • Utilizing the Department of Homeless Services (DHS) - Client Assistance and Re-housing Enterprise System (CARES) complete Facility Bed Management, Client admissions, discharges, and transfers discharges.
  • Assist with Facility Billing, Audits, Reconciliation, etc. using the DHS CARES System.
  • Prepares and completes report.
  • Maintain up-to-date and current filing system for the program.
  • Maintain daily school attendance with the assistance of the Department of Education Representative.

  • Orders supplies and tracks distribution of supplies.
  • Assist staff as needed with filing, etc.
  • Assumes other responsibilities when requested by the Program Director or member of management.
  • Coordinate with other Administrative Support staff to assure the smooth operation of the unit, including telephone reception, data entry and photocopying.
  • Performs a variety of support task that are highly confidential and sensitive
  • Performs other duties as assigned.
SECONDARY RESPONSIBILITIES:
  • Facilitate effective communication with other staff within an interdisciplinary context, participate in and contribute to staff meetings and the development of policies and procedures.
  • Participate in training and staff-development activities to acquire and maintain both interpersonal and operational skills necessary for successful job performance.
  • Explore possibilities to add value to the job accomplishments.
PRINCIPAL RELATIONSHIPS:
  • Frequent contact with staff within departments using considerable independent judgment in making decisions.
  • Regular contact with external and internal callers to assure a high degree of customer service is provided.
  • Ability to maintain collaborative working relationships within department as needed.
  • Interact with other departments or divisions to ensure cooperation and the delivery of proper services.
MINIMUM QUALIFICATIONS:
  • High School Graduate and or G.E.D.
  • Minimum of two (2) years secretarial/clerical responsibilities.
  • Ability to communicate in English and Spanish Bi-lingual .
  • Must be capable of accurately typing 50 w.p.m.; Word Processing at 200 strokes per minute.
