Job Summary Under the supervision of the Business Manager, the administrative assistant performs routine clerical and administrative duties for the agency. The administrative assistant interacts with program participants and must be familiar with the Guiding Values issued by the Developmental Disabilities Administration (DDA). At all times, the Administrative Assistant will seek to act in accord with the principles and values expressed in the guidelines and uphold the agency mission.
Day-to-Day - Perform general clerical and administrative tasks, including:
- Create letters, spreadsheets, and presentations using MS Office
- Operate office equipment (computer, copier, fax, postage meter)
- Answer phones, route calls, and take messages
- Handle incoming/outgoing mail; deliver mail to post office
- Maintain personnel, agency, and client files
- Order office supplies and maintain inventory
- Update mailing lists, phone lists, and client face sheets
- Support internal and external communications:
- Distribute memos and agency info
- Schedule and prepare conference rooms for meetings
- File updated policies
- Keep promotional materials stocked
- Help maintain cleanliness and functionality of shared office spaces
- Coordinate repairs and cleaning as needed
- Attend staff meetings and complete all required training:
- First Aid/CPR, Bloodborne Pathogens, Mandated Reporter
- Operate a personal or agency vehicle as needed
- Maintain a valid WA driver's license, insurance, and vehicle registration
- Submit driver's abstract upon request
- Perform other duties as assigned
Who we are looking for - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology
- Demonstrated ability listen to and understand information and ideas presented through spoken words and typed or written information
- The ability to communicate information and ideas in speaking and writing so others will understand
- Ability to managing one's own time and the time of others to ensure deadlines are met
Job Requirements - At least 18 years of age
- At least one year experience performing general office duties
- Possess intermediate computer skills, including knowledge of Microsoft Office Suite and the ability to learn and use new software
- Have a Washington State Driver's license, current vehicle insurance and able to be covered on Alpha Supported Living Services' automobile insurance plan based upon his/her driving record
- Background inquiry clearance from an authorized state agency
Starting Wage: $24/hr
Wage Scale: $24 - 29.60/hr
Please note that the wage scale is listed for transparency. Starting wage will have very limited flexibility.
Benefits: Benefits for Full-Time Employees (30 hours or more a week) include Medical, Dental, Vision, 403(b) (non-profit version of a 401(k with company match, Life Insurance, Tuition Savings Program, and Tuition Reimbursement. Employees working 34 or more hours a week are eligible for PTO accrual.
