The Administrative Assistant I is responsible for assisting the daily operations of the Physical Therapy Administrative Department. Activities are not limited to but may include answering phone calls, directing patient questions, scheduling appointments, maintaining project progress, updated statistical spreadsheets, and serving as a resource to the different members of the Administrative Team.
JOB DUTIES AND RESPONSIBILITIES:
- Provides support and back up to the Practice Administrator and other Administrative Team members, primarily within Marketing and Operations.
- Responsible for assisting in completing weekly/monthly statistical analysis reports.
- Assist with creating content for social media as well as scheduling social media posts.
- Monitor and maintain social media pages as needed,
- Answers phone calls and directs to correct department or personnel.
- Responsible for monthly Press Ganey and Google Review patient satisfaction reports.
- Completes business cards, updates staff list, and maintains clinic frames for new hires and existing employees.
- Tracks and manages continuing education budget
- Assists with marketing giveaway ordering as well as supply ordering.
- Assists with a variety of different projects within the OP Rehab department.
- Maintains confidentiality of all materials handled within the Network/Entity as well as the proper releases of information.
- Coordinate marketing materials for event and Marketing Liaisons.
- Facilitates orders for branding and marketing material such as but not limited to business cards, signage, and advertisements.
- Complies with Network and departmental policies regarding issues of employee, patient, and environmental safety and follows appropriate reporting requirements.
- Demonstrates/models the Network's PCRAFT values during interactions with all customers.
- Demonstrates Performance Improvement in the following areas as appropriate: Clinical Care/Outcomes, Customer/Service Improvement, Operational System/Process and Safety.

PHYSICAL AND SENSORY REQUIREMENTS:
Sitting for up to 8 hours per day, 3 hours at a time. Consistent use of hands and fingers for typing, telephone, data entry, etc. Occasional twisting and turning. Uses upper extremities to lift and carry up to 10 pounds. Stoops, bends and reaches above shoulder level to retrieve files. Hearing as it relates to normal conversation. Seeing as it relates to general vision. Visual monotony when reading reports and viewing computer screen.
MOST COMPLEX DUTY:
Organization and prioritization of multiple clerical duties so that the entire department runs.
EDUCATION:
Undergraduate degree preferred, with a major or significant course work in Business/Healthcare Administration and/or Marketing/Communications.
TRAINING AND EXPERIENCE:
Must be proficient with Excel, and Word. Access database experience is helpful. Candidate must be proficient in organizing files, data entry, statistical analysis, answering/directing phone calls, and tracking deadlines
