Job Responsibilities Job Purpose: The administrative assistant for TRIO Talent Search is critical in supporting the program's mission to increase the retention and graduation rates of first-generation, limited-income, and students with disabilities. The administrative assistant will provide comprehensive administrative support to ensure smooth day-to-day operations, assisting with program management, event planning, and data reporting. This role will contribute to achieving program goals and objectives by fostering an efficient, organized, and welcoming environment for TRIO students and staff.
Job Functions - Serve as the office manager, greeting clients and other professionals, recording and relaying messages in a timely manner, conducting follow-up calls on behalf of the AVP and Director, and maintain program calendars for events.
- Organize, generate, edit, and submit correspondence for Talent Search (TS) Students, staff, and other community entities. Prepare and maintain the TS ledger by monitoring and recording encumbrances, expenditures, and transfers.
- Maintain documentation and record keeping on program participants. Create client file folders and perform monthly checks to ensure accuracy and upkeep of the TS program's required documents.
- Orders and maintains office supplies, prepare facility and oversees travel arrangements and assists with reimbursement claims and contracts for TS temporary staff.
- Maintains and distribute incoming and outgoing mail for TS staff members. Supervise office assistants and work-student employees.
- Performs other duties as assigned.
Minimum and Additional RequirementsA high school diploma and work experience that is directly related to the area of employment.
Preferred Qualifications A bachelor's degree or an Associates degree or a high school diploma + 2 years related work experience.
