Position Title: Administrative Assistant-Early Childhood Programs

The primary function of the Administrative Assistant-Early Childhood Programs is to provide comprehensive administrative support to the director and other school staff by managing office operations, handling communication, maintaining student records, scheduling appointments, greeting visitors, and generally ensuring the smooth running of the school office, relieving the director of routine tasks so they can focus on educational leadership.

Qualifications:
  • High School Diploma or GED required;
  • Associates degree or higher in Business or related field preferred;
  • A minimum of three (3) years experience working in an office setting preferred;
  • Knowledge of Microsoft Word including Excel Spreadsheets;
  • Knowledge of Google Docs, Sheets, Forms;
  • Knowledge of Jotform;
  • Must maintain confidentiality at all times;
  • Excellent public relations skills including courteousness, tact, and verbal communications.
  • Good organizational skills with ability to muti-task and work flexibly.
  • Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of directors, clients, customers, and the general public.
  • Reasoning Ability: Ability to solve routine problems with minimal supervisory assistance. Ability to establish and maintain effective working relationships with students, with staff and with the community. Ability to perform duties with awareness and consistency to the mission and goals established by the Board of Education.

Report to/Evaluated by: Early Childhood Education Director.

Supervisory Responsibility: All school employees have some responsibility for supervising students and assisting in maintaining a safe environment at all times.

Salary Range: $15/hour - $17.00/hour; dependent upon credentials and experience.

Monday-Thursday; Part-time, 25-29 hours per week. Position follows preschool calendar (September-May); Non-union position.

Essential Duties
  • Welcoming visitors in person, on the phone, and in writing;
  • Directing visitors to the appropriate office or staff member;
  • Scheduling appointments;
  • Scheduling home visits;
  • Scheduling parent-teacher conferences;
  • Scheduling annual events, including field trips, picture day, dental bus, community helper day, reading month;
  • Supporting the Early Childhood Education Director;
  • Supporting classrooms with making copies, laminating, etc.
  • Maintaining records, student files, class schedules;
  • Transferring paper documents to Jotform;
  • Receiving, sorting, and distributing mail, messages, and documents;
  • Assisting parents in checking students in and out of school;
  • Providing information to students and parents, and maintaining school policy and procedure documents;
  • Answering phones, taking messages, making copies and filing;
  • Performing trained emergency procedures in the event of an alarm, lockdown, or medical situation;
  • Processing purchase orders and other school finances;
  • Updating the preschool and childcare websites;
  • Maintaining office supplies;
  • Assisting as necessary with school events;
  • Additional duties may be assigned as needed;
  • Takes in-service training as provided in accordance with contract;
  • Must be self-directed and have the ability to follow directives from supervisors;
  • Must maintain confidentiality at all times;
  • Professional dress and grooming are requirements of this position.
  • Regular in-person attendance and promptness is an essential duty in this position.
