The Administrative Assistant V provides onsite support to the Director of Workforce Program Policy in the Workforce Development Division in Austin, Texas. WHAT YOU WILL DO:
The Administrative Assistant V performs highly-advanced (senior-level) administrative support work. Works under minimal supervision, with considerable latitude for the use of initiative and independent judgment.
YOU WILL BE TRUSTED TO:
- Provide senior-level administrative and technical assistance to a Director of a Workforce department.
- Respond to inquiries regarding program or administrative regulations, policies and procedures.
- Compile, prepare, verify, process and maintain confidential agency documents, correspondence, reports and forms.
- Assist in compiling and analyzing data and reports.
- Review the Director's e-mail, receives calls, and takes appropriate action.
- Advise and assiss the Director and other managers and staff on administrative matters and operations.
- Assist in interpreting policies and procedures and makes administrative recommendations.
- Coordinate the Director's schedule to include calendar appointments, conferences, travel activities, meetings, and conference calls.
- Organize and maintain administrative filing system.
- Develop and maintain tracking process for departmental assignments, special projects, assigned action plans, and legislative inquiries.
- Monitor the progress of assignments and ensures that deadlines are met.
- Coordinate work between department units and managers.
- Review and edit branch correspondence and documents.
- Assist in performing support staff functions including human resources management, purchasing, time distribution reporting, and budget preparation.
- Perform other duties as assigned.
YOU QUALIFY WITH:
- Four years of full-time experience that provided knowledge of administrative support functions and office practices and procedures, or clerical administration and business management practices, such as preparation, maintenance and control of forms, records and reports.
-Relevant academic credits may be applied toward experience qualifications for this position.

- Knowledge of office practices and administrative procedures, including techniques for file management in a digital environment.
- Skill in the use of standard office equipment and software.
- The ability to implement new administrative systems and procedures and to evaluate their effectiveness.
- The ability to Interpret rules, regulations, policies and procedures.
