Job Summary:

The Administrative Assistant will provide comprehensive administrative support to ensure efficient office operations. This role requires exceptional organizational skills, attention to detail, and the ability to communicate effectively in a fast-paced environment. The ideal candidate will be a proactive problem-solver who can manage multiple priorities while maintaining a high level of professionalism and confidentiality.

Key Responsibilities:

Document Management
  • Create, edit, format, and manage various business documents, reports, and presentations
  • Maintain organized digital and physical filing systems for easy document retrieval
  • Ensure proper document control procedures are followed
  • Assist with preparation and distribution of meeting minutes and other important documents
Schedule Management & Meeting Support
  • Coordinate schedules, appointments, and meetings for team members and executives
  • Prepare necessary materials for meetings and presentations
Reservations & Event Support
  • Arrange travel itineraries, accommodations, and transportation for staff
  • Assist with planning and coordination of company events, conferences, and training sessions
  • Manage registration processes for company events and external conferences
  • Coordinate with vendors and service providers for event-related needs
Office & Facility Management
  • Monitor and maintain office supply inventory; place orders as needed
  • Serve as the point of contact for office maintenance issues
  • Assist with managing office equipment and coordinating repairs when necessary
  • Help maintain a clean, organized, and professional office environment
Basic Accounting Support
  • Process expense reports and reimbursement requests
  • Assist with basic bookkeeping tasks as directed
  • Support accounts payable/receivable processes with data entry and filing
  • Help prepare documentation for accounting procedures
Data Management
  • Enter and update information in company databases and systems
  • Compile data and prepare regular operational reports
  • Maintain accuracy and integrity of administrative records
  • Create and update spreadsheets for various tracking purposes
Communication Support
  • Serve as the first point of contact for visitors and incoming communications
  • Answer and direct phone calls, emails, and other correspondence
  • Facilitate communication between departments and with external partners
  • Assist with translation needs for a multinational team when applicable
  • Support internal and external communication initiatives
Requirements

Qualifications:
  • Associate's degree or equivalent; Bachelor's degree preferred
  • 2+ years of administrative support experience
  • Excellent verbal and written communication skills
  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with scheduling and calendar management
  • Ability to prioritize tasks and manage time effectively
  • Detail-oriented with strong organizational skills
  • Professional demeanor and commitment to confidentiality
  • Proactive problem-solving abilities
  • Experience working in a multinational environment is a plus
  • Basic understanding of accounting principles is beneficial
  • Ability to work both independently and as part of a team
  • Must be able to work onsite at the Anaheim, California headquarters
Preferred Skills:
  • Experience with ERP systems or other business software
