Description of Duties:
The Office of Economic Development, Entrepreneurship, and Industry Partnerships (OEDEIP) at the University at Albany (UAlbany) fosters innovation, entrepreneurship, and collaboration between academia and industry. The Administrative Assistant provides comprehensive administrative support to the Office of Economic Development, Entrepreneurship, and Industry Partnerships at the University at Albany. This position requires a proactive and detail-oriented individual who can manage multiple tasks efficiently while maintaining a high level of professionalism. The Administrative Assistant will be a key point of contact within the office, supporting various programs and initiatives aimed at fostering economic development, entrepreneurship, and industry partnerships.
Essential Functions:
- Provide general administrative support including answering phones, scheduling meetings, and preparing correspondences.
- Assist in the preparation and distribution of meeting agendas, minutes, and other related documents.
- Maintain office supplies inventory and place orders as necessary.
- Assist in planning and coordinating events, workshops, and seminars related to economic development and entrepreneurship.
- Manage event logistics, including venue booking, catering arrangements, and attendee registration.
- Serve as a liaison between the office and internal/external stakeholders.
- Assist in the maintenance of accurate records and databases of partnerships, projects, and funding opportunities.
- Compile data for reports and presentations as needed.
- Assist with budget tracking and financial reporting.
- Process invoices, reimbursements, purchase orders and requisitions, travel reimbursement, in accordance with university policies.
- Provide support for special projects and initiatives.
- Administrative support for the NSF I-Corps Program at UAlbany.
Job Requirements:
Minimum Qualifications:
- Bachelor's degree from a college or university accredited by the US Department of Education or an internationally recognized accrediting organization and 2 years of experience in an administrative experience; OR Associate's degree and 4 years of experience in an administrative experience; OR High School diploma and 6 years of experience in an administrative experience.
- Experience with Microsoft Office including Word, PowerPoint, Quickbooks, and Outlook
- Experience with event planning and coordination.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Comfortable with web-based platforms such as Canva and Squarespace
- High level of discretion and confidentiality.
- Ability to work independently and as a team.
- Ability to work under pressure, meet posted deadlines, and handle multiple projects.

Preferred Qualifications:
- Two years of administrative experience in an academic/higher education or non-profit environment.
- Experience with Oracle Business Application
- Familiarity with database management and CRMs, such as Salesforce.
Additional Information:
Salary Range: $40,000 - $45,000 (annual)
