Administrative Assistant III
Department: Job Training & Workforce Partnerships Pay Classification: H (130)
Reports To: Coordinator of Job Training FLSA Status: Non-exempt
Job Summary: Provides administrative support and oversight to the Dean of Job Training & Workforce Partnerships and other members of the division.
Minimum Required
Education: Associate's Degree and five (5) years of experience, or equivalent combination of education and experience.
Preferred: Bachelor's degree.
Minimum Required
Experience: Three to five (3-5) years of clerical and administrative support experience.
Preferred: Experience in higher education, community relations, and/or related fields.
Core Duties and
Required Knowledge: Perform general administrative duties including coordinating department operations, scheduling appointments and meetings, answering phone calls, typing correspondence, filing, maintaining records, copying materials, ordering supplies, creating purchase orders, and distributing mail.
Greet visitors, faculty, staff, and students; provide general information; and direct individuals as needed.
Requisition funds, maintain records, and process bills for the Job Training division, serving as initial liaison with the Business Office for purchasing needs.
Write, monitor, and report on grant applications, coordinating submissions and compliance with Institutional Advancement.
Assist in collaborative efforts and relationship building with internal and external partners to support institutional goals.
Support the Dean in community engagement, civic initiatives, and special projects.
Carry out projects, services, and activities such as mailings, meeting coordination, taking minutes, data entry, and correspondence.
Assist with programs and events hosted by Job Training, the college, and student groups as needed.
Maintain inventory of departmental supplies and support budget tracking.

Strong communication skills, both written and oral, with the ability to interact professionally at all levels.

Proficient in Microsoft Office Suite (Teams, Word, Excel, Outlook) and standard office equipment.
Excellent customer service, organization, and time-management skills.

Other Information: Security-sensitive position.
May serve on institutional committees as needed.
Occasional travel between campuses required.
Physical Requirements: Light work: exerting up to 25 pounds of force occasionally and/or a negligible amount of force constantly to move objects.
Requires light bending, stooping, kneeling, carrying, and climbing ladders.
