The Division of Early Learning (DEL) is dedicated to providing accessible, affordable, and quality early learning services for the state's children and families. In partnership with 30 early learning coalitions and Redlands Christian Migrant Association, DEL delivers three programs:
- The School Readiness Program (SR) offers financial assistance to low-income families for early education and care so they can become financially self-sufficient, and their young children can be successful in school in the future.
- Voluntary Prekindergarten (VPK) is a free educational program that prepares 4-year-olds for success in kindergarten and beyond.
- Child Care Resource and Referral (CCR&R) is a network that helps families identify and select quality child care options that best meet their needs.

Job Description This is a professional career service position located in the Division of Early Learning (DEL) in the Financial Administration and Budget Services (FABS) unit. The incumbent in this position will serve as an Administrative Assistant III, Travel Coordinator processing P-card charges in WORKS and primarily works in providing administrative support.
The employee must be productive under tight timeframes, balance multiple and competing priorities and maintain goal-directed behavior and performance sometimes under stressful conditions.
The employee must interact courteously with others.
The employee's performance and behavior must demonstrate consideration of the workload concerns of others and must not negatively affect productivity and morale of the unit.
Duties and Responsibilities (Note: The omission of specific job duties does not preclude management from assigning specific duties not listed herein if such duties are a logical assignment to the position.)
The Florida Department of Education (FDOE) has an open position that is responsible for executing the following functions:
Tasks included, but are not limited to:
- Serve as Travel Coordinator for Division of Early Leaning.
- Provide administrative support to Division of Early Learning (DEL), coordinates travel arrangements, complete, and track travel authorizations to incur travel, and submit vouchers for reimbursements in STMS- State Travel Management System.
- Process comprehensive travel arrangements, hotels, cars, air flights, registrations, Authorization to Incur, Voucher for Reimbursement, on behalf of DEL staff.
- Maintain documents of travel development and concepts, knowledge of best practices and procedures of State and Agency travel policies and guidelines. Process charges and codes in WORKS database system.
- Establishes and maintains DEL Group and Conferences travel details.
- Maintain communication with the traveler/team and supervisor regarding travel status and outcomes.
- Approve and process DEL staff p-card charges in WORKS.
- Process / Code ELC and Restitution checks for deposit in the DOE Check Deposit System.
- Process - Allocation forms and mail out of Checks.
- Maintain office supplies and copy paper
- Maintain DEL conference room calendars.
- Sharepoint Invoice Tracking Log-Daily Updates.
- Obtain Warrants from DOE for Mailouts.
- Process Allocation forms for DMS-Suncom Invoices
- Provide administrative support as needed.
- Other duties as assigned.

Knowledge, Skills, and Abilities - Knowledge of administrative principles and practices.
- Exemplify strong communication, organizational and customer service skills
- Experience in the use and operation of STMS and WORKS
- Experience and ability to plan and coordinate travel and accomodation for a group of staff
- Experience in use of P-Card, applicable rules and processing charges in WORKS.
- Excellent written, oral, computer, and editing skills
- Extensive experience in planning and arranging meetings and travel arrangements
- Extensive experience and knowledge of DEL expenditures / travel codes
- Knowledge and experience with Microsoft Office Suite
- Knowledge of Excel
- Knowledge of administrative principles and practices

- Knowledge of the principles and techniques of effective communication
- Ability to prepare correspondence and administrative reports

Minimum Qualifications: - 2+ years of related work experience, preferably in making travel arrangements and processing reimbursements including the state's travel system (STMS), P-Card system (WORKS), or experience in related fields.
Preferred Qualifications Preferences will be given to applicants who (have):
- Experience in coordinating and preparing group travel arrangements in STMS, processing travel reimbursements.
- Experience in P-Card WORKS and assisting Staff with purchasing on the P-Card
Location: This position will work in the Turlington building at 325 W. Gaines Street, Tallahassee.
