Total Compensation Estimator Tool FLORIDA DEPARTMENT OF HEALTH - OPEN COMPETITIVE OPPORTUNITY Your Specific Responsibilities: This is an independent, highly responsible, and complex administrative position serving as administrative support to the General Operations Administrator and Bureau of General Operations teams. This position makes decisions with minimum supervision/instructions and anticipates the administrative needs of the office.
- Assists in the daily administrative activities of the office, including but not limited to, answering telephones, mail distribution and supply requisition and distribution.
- Provides clerical and administrative support to the Administrator and Unit Managers. Acts as liaison with other bureaus pertaining to various administrative processes, policies, and procedures. Maintains Administrators calendar.
- Coordinates travel arrangements, prepares itineraries, prepares, and submits travel reimbursements and tracks travel expenditures for the office.
- Represents the Administrator in contacts with public officials, other government agencies and carries out assignments given by the Administrator.
- Coordinates meetings, including the scheduling of meeting rooms, preparation of agendas, materials, and meeting justifications. Coordinates and makes arrangements pertaining to conference calls. Responsible for negotiating contracts of offsite meeting rooms.
- Processes routine correspondence and drafts responses.
- Assists the Administrator in the preparation of LBR issue development and other budget related legislative reports.
- Performs special assignments and other duties as assigned by the Administrator.
- Assist candidates with background screening and/or drug screenings required for DOH employment.
- Process new employee paperwork, new employee orientation process, giving general information and assistance.
- Navigate FLHealthDesk HR and submit Human Resource (HR) tickets in FLHealthDesk HR for recruiting, classification actions, pay changes, separations and other actions as needed.
- Scan and attach forms in LHealthDesk HR that are needed for separations, new hire, recruitment, and other actions.
- Serves as Central Office Safety Coordinator to ensures all guidelines and policies are followed.
- Attends safety trainings, conference calls, and completes safety surveys timely and accurately.
- Ensures the Safety Inspection Checklist and Semi-annual Safety Inspection Checklists are completed, maintained, and submitted to the Chief of Operations. Works with the management team to resolve any safety issues.
- Coordinates fire drills and completes all necessary documentation.
- Preforms other related duties as required.
Knowledge, Skills, and Abilities: - Must have excellent written, verbal, mathematical, communication and customer service skills.
- Must be able to perform accurate, thorough work, follow instructions and conduct thorough follow-up to ensure tasks are documented as completed.
- Must have basic word processing and spreadsheet skills, including the ability to create spreadsheets, reports, and to organize and prioritize work assignments
- Must have the ability to work independently and to effectively handle multiple tasks.
- Must have the ability to establish and maintain effective working relationships with others.
- Must have the ability to understand and apply federal and/or state rules, regulations, policies and procedures.
Minimum or Prefered Qualifications: - Minimum - High School Diploma or GED
- Administrative Experience (1 - 3 years preferred)
- Microsoft Teams experience (Outlook, Excel, Visio, Word, and PowerPoint)
