Job Title: Administrative Assistant 3 / Executive AssistantJob Description

We are seeking a highly skilled and experienced Administrative Assistant to support high-level executives. This role is essential in ensuring the smooth operation and efficiency of the executive's office. The ideal candidate will have a proven track record of managing complex calendars, coordinating travel, and handling sensitive information with the utmost confidentiality.

Responsibilities
  • Proactively manage and prioritize complex and constantly changing calendars to keep the CVP focused on business priorities.
  • Partner closely with the Chief of Staff, Leadership Team, and other key stakeholders to ensure strategic time management for the CVP.
  • Align Leadership Rhythms, Customer, and Partner engagements with the CVP's calendar.
  • Plan and coordinate domestic and international travel arrangements, ensuring all logistics meet cultural and business protocols.
  • Manage and maintain team aliases for the organization.
  • Work on headcount and space planning, including creating PCNs and updating people records in systems such as Employee Central.
  • Prepare, approve, and process business expenses for the CVP and Leadership Team.
  • Plan and manage oversight of the morale budget spend and events.
  • Support the broader admin team by providing coaching and mentoring to other FTE or vendor admins as needed.
  • Assist with business and team events, including global offsites, morale events, and corporate events.
Essential Skills
  • Minimum 5-7 years of experience with Administrative Business Support or customer service experience in a scheduling, travel management, and administration role for executive/upper-level management.
  • Experience partnering with business leadership and supporting a global team with remote employees.
  • Proficiency in productivity software including Outlook, Word, Excel, PowerPoint, OneNote, SharePoint, Teams, or similar collaboration tools.
Additional Skills & Qualifications
  • 5 years of experience reviewing and managing administrative budgets for events, morale, travel, and training.
  • Experience successfully partnering with Chief of Staff and business management teams.
  • Experience working with multiple EAs and administrators.
Work Environment

This role requires working onsite four days a week at the Redmond, WA campus, with one day a week remote. The standard schedule is Monday to Friday, 40 hours per week, with occasional overtime if needed. The supplier will provide a standard setup including a Microsoft-compatible laptop, mouse, and headset. Pay and Benefits

The pay range for this position is $32.00 - $36.00/hr.
