Summary Barry University, College of Nursing & Health Sciences department is currently seeking an Administrative Assistant III. This position is responsible for providing administrative support for the Undergraduate Nursing Programs.
This position is in person. Essential Functions Performs administrative/clerical functions in support of the BSN Undergraduate program by:
- Assist the program director and operations manager with end-of-course evaluations, Adjunct Contracts, faculty onboarding, and various legal documents for the Department of Nursing.
- Assists program leadership with the distribution of correspondence relating to program information, administrative documentation forms, student records, etc.
- Maintains a database of withdrawals, leave of absence, and failure students for the database.
- Tracks attrition and retention rates.
- Provides support to program students and visitors via phone and in person all while complying with University policies and regulations such as FERPA.
- Assign faculty advisors to all new BSN program students through AIS.
- Attends CNHS meetings and participate in college-wide committees as necessary.
- Manages the BSN program's paperless filing system with direction from the operations manager.
- Archives and uploads all course syllabi on the DON SharePoint site three times a year during the first two weeks of the semester and after approval from the Program Director.
- Ensures that all Curriculum Plans are accurate and up to date and uploaded on SharePoint and that copies are available for students and faculty in the main office.
- Collects Course Syllabi from faculty each semester and maintains database accuracy through Sharepoint
- Monitors full-time faculty licensure, national certification, health compliance documents, and CPR/PPD records.
- Attends BSN program Faculty Meetings and RAP committee meetings for recording/ transcribing purposes. Uploads meeting minutes on Sharepoint.
- Assist with recruiting events throughout the year as needed.
- Processes student academic record requests such as: Education verification forms, Licensure verification forms, Official transcript clearance, FBON student name list, etc.
Maintains up to date lists of the following: - Student Advisors list
- Program Changes/updates needed to be applied to website, student handbook, and catalogs.
- Faculty and Student accomplishments postings on SharePoint, Nursing Website, and social media platforms.
Assist as Event Coordinator for the BSN- Undergraduate Nursing Programs events: - Assisting with program-specific events such as Orientation, Day in the Life of a Nurse, Demo Day, and Pinning Ceremony by:
- Contacting and negotiating with vendors
- Ordering supplies needed
- Securing attendance of guests
- Ensuring that the program event budget is met
- Creating detailed run sheets for data collection purposes
Manages data collection for the BSN nursing programs by:
- Updating student ATI and submitting it to the representatives before the beginning of every academic semester, and emailing copy to Program Director and Assistant Program Director.
- Maintains record of ATI Resource book distribution including offsite cohorts
- Creating and managing an organized database by using surveys to gather detailed data for grants and annual reports
- Gather Exit Surveys and course Evaluations from faculty
- Retain data from students and build a positive relationship with alumni to obtain surveys and feedback.
- Assist in strategic planning and coordination of projects focused on increasing awareness of our programs to the community in efforts to recruit and retain more students.
Support with maintenance of the budget & records with the direction of the Nursing Operations Manager - Keeps payment records (receipts) for monthly cost center reconciliation.
- Review and purchase of office supplies and laboratory requisitions.
- Oversee maintenance of supply inventory
- Work with vendors to obtain bids on needed equipment and present proposals to Program Director
- Handle requisitions throughout workday.
Serves as backup administrator for testing Software Admin with the following: - Maintains an accurate database in Examsoft and communicates with up to 300 undergraduate nursing students and 15+ faculty members.
- Researches and resolves Examsoft issues.
- Presents at undergraduate student orientation or by appointment. Thoroughly explains the importance of maintaining software updates and troubleshooting strategies during school enrollment.
- Develops and maintains ExamSoft database, coordinating up to 300 students with appropriate courses. Updates database each semester.
- Administering credit by exam process to potential nursing students; as needed.
- Relieving and assisting with front desk coverage and other administrative assistants within Nursing (BSN and PhD).
- Provides clerical, administrative, and special project support to assigned faculty after approval by Operations Manager
- Nursing Study Abroad Program (NSAP), coordinating travel, legal documents, maintain travel budget (2x/yr)
- Organizes onsite program recruitment efforts (Demo Day, Day in the Life of a Nurse, etc.)
- Assists the UG admission team with creating and submitting student BSN program admission status notices
- Provides administrative support to the Operations Manager
- Performs other duties as assigned or requested by Operations Manager
Qualifications/Requirements - An associate's degree or technical/vocational certification is required. A Bachelor's Degree in Liberal Studies is preferred.
- 3-5 years of related experience.
- Must have project management skills
- Must have excellent written and verbal communication skills
- Advanced experience with MS Suite, Access, (Excel & Word); SharePoint, and other computer software.
- Ability to take minutes and create memos, letters, and formal emails.
- Must have Organizational and Interpersonal Skills
- Ability to work effectively with all levels throughout the University.
- Ability to maintain work in an organized manner.
