Position Purpose

The Administrative Assistant provides high-level administrative support to the Senior Project and Administrative Manager and plays a key role in scheduling and coordinating activities for the Dean of Student Affairs, Dean of Arts & Sciences, Dean of Undergraduate Programs, and the Chief Financial and Administrative Officer (CFAO). This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Required Qualifications - Skills, Knowledge and Abilities

• Minimum of 3+ years of experience in an administrative support role, preferably in higher education or a similar environment.

• Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and scheduling tools.

• Exceptional organizational and time management skills, with the ability to multitask effectively.

• Strong written and verbal communication skills, with professionalism in handling confidential information.

• Ability to work independently and collaboratively in a dynamic, high-energy environment.

Preferred Qualifications
  • Associate's or Bachelor's degree in Business Administration, Office Management, or a related field preferred.
  • Experience supporting senior leadership in an academic or institutional setting.
  • Familiarity with higher education administrative systems and scheduling platforms.
  • Strong problem-solving skills and the ability to anticipate needs proactively.

Description

Administrative & Scheduling Support

• Maintain and coordinate complex calendars for the Senior Project and Administrative Manager, Deans, and CFAO, ensuring alignment with institutional priorities.

• Schedule meetings, prepare agendas, and manage logistics, including room reservations, technology setup, and document preparation.

• Screen and prioritize meeting requests, appointments, and correspondence.

• Assist in drafting, editing, and formatting reports, presentations, and communications.

Project Coordination & Support

• Provide administrative assistance for key projects led by the Senior Project and Administrative Manager, including data tracking, document organization, and deadline management.

• Support event planning and execution, including coordinating logistics, materials, and communications.

• Assist with special initiatives and cross-departmental collaborations as assigned.

Office & Operational Support

• Serve as a central point of contact for inquiries directed to the Deans and CFAO, ensuring timely responses.

• Maintain organized records, files, and databases to support efficient operations.

• Assist in processing expense reports, invoices, and procurement requests.

• Ensure compliance with institutional policies and procedures in all administrative tasks.
