The Life and Leadership Coaching Administrative Assistant shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose: To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost.

ESSENTIAL FUNCTIONS

Life and Leadership Coaching Administrative Assistant 95%
  • Manage email, schedule, travel logistics. Schedule meetings and events (in person and online).
  • Prepare meeting agendas and event materials. Provide meeting notes and follow up on assigned tasks.
  • Track ministry goals and OKR progress to ensure alignment with organizational objectives.
  • Maintain systematic and easily accessible files for the Life and Leadership Coaching Team to ensure efficient information retrieval.
  • Prepare and revise communication materials including emails, PowerPoint presentations, newsletters and general correspondence.
  • Coordinate and track short and long-term project and event logistics using software to align responsibilities and timelines across departments, ensuring smooth execution.
  • Anticipate ministry needs both daily and at events, exercise independent judgment, make decisions, and take initiative within agreed-upon limits to support organizational goals.
  • Maintain good communication with various teams and leadership at all levels as required to ensure effective collaboration.

Additional Responsibilities 5%
  • Attend TDC team meetings and prayer times as able.
  • Participate in annual processes, such as the organizational Plan and Progress Review (PPR), Engagement Survey, Reaffirmation of the Navigators Code of Conduct, Calling-Core Values-Vision, Statement of Faith, Driver's Authorization, and other releases as required.
  • Submit time worked on a weekly basis through the Workday Time Tracking system.
  • Submit expense report due the 15th of each month.
  • Other job-related duties as assigned.

MINIMUM AND PREFERRED QUALIFICATIONS

Spiritual: Belief in and adherence to the Statement of Faith and Mission of The Navigators.

Experience: At least 3 years of experience as an administrative professional.

Technical Knowledge & Skills: Proficient inMicrosoft Office applications (Outlook, Excel, Word, PowerPoint), ability to learn new systems and platforms quickly. Preferred experience with RegFox, Constant Contact, MailChimp. Basic editing, graphic and visual design skills are helpful.

Communication & Leadership: Excellent interpersonal and communication skills including verbal & written, to create understanding and build strong working relationships required. Attention to detail, self-motivated, takes initiative, manages multiple projects, ability to keep confidential information.

Education: Bachelor's Degree or equivalent education/experience.

Compensation Range: $17-23/hour
