EDUCATION AND EXPERIENCE :
High School Diploma or Equivalent
Four years related experience and/or training; or equivalent combination of education and experience

High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.

PRIMARY PURPOSE SUMMARY :
Provides administrative and clerical support to the Guidance program and to the Director for Guidance Services.

ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Assists the Director for Guidance Services, Guidance Coordinator, and College and Career Readiness Coordinator in all aspects of coordinating the Guidance program, to include calendaring, activities and appointments, coordinating counseling staff development activities, and arranging special guidance events and programs.
2. Provides assistance and support to the Director for Guidance Services, Guidance Coordinator, and College and Career Readiness Coordinator in designing, planning, organizing, implementing, and evaluating of the District's guidance program.
3. Prepares presentations on behalf of the Director for Guidance Services for school board meetings, counselor in-service meetings, committee meetings and all other programs in which the Director may participate.
4. Constructs, updates, and produces various pamphlets, brochures and materials related to the guidance program - Arranges for distribution of publications to the appropriate individuals, to include District departments, campus administration and staff, as well as, students, parents and community organizations.
5. Maintains budget and performs bookkeeping duties for the District's guidance program resources, to include supervision of inventory and acquisition of supplies and guidance materials.
6. Initiates and submits travel vouchers and documentation for the Director for Guidance Services and the department.
7. Performs administrative and clerical functions for the Director and department to include maintenance of counseling procedure notebooks, updating of policy when appropriate and developing procedures for tracking inventory of guidance resources.
8. Composes and disseminates Guidance Services correspondence that includes memorandum to Central Office and campus staff and administration.
9. Interacts with parents, staff, community agencies, college representatives, counseling professionals, business professionals, District personnel (professional and classified) and presents a positive image of the Guidance program and department.
10. Responds to requests of school counselors, other District staff and the public for information, materials and assistance in relation to the Guidance program.
11. Maintains confidentiality regarding Guidance Services personnel concerns and uses good judgment in disclosure of sensitive information to appropriate individuals.
12. Serves as Notary Public for Guidance Services business, as well as, for other departments when requested.
13. Maintains the District's Guidance Services web page and ensures campus counseling web pages are accurate with respect to published guidance information.
14. Assists in coordinating the District Crisis Response Team and ensuring contact information is current and accurate.
15. Assists the department with scanning of records and documents.
16. Implements and maintains electronic filing of student records through DocuWare.
17. Responds appropriately in crisis/emergency situations.
18. Maintains confidentiality of information.
19. Reports to work on time every day.
20. Performs additional duties and responsibilities as may be assigned.

QUALIFICATION REQUIREMENTS:
• Knowledge of modern office practices, procedures, equipment, and clerical techniques

• Proficient in the use of various computer hardware and software systems, including Microsoft products such as Word, Excel, Power Point and Publisher

• Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public

• Ability to communicate clearly and effectively, both verbally and in writing

• Valid Texas Driver's License with driving record that meets the requirements of the District

The employee frequently is required to reach with hands and arms and taste or smell. The employee is occasionally required to stand; walk; climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and ability to adjust focus.

WORK ENVIRONMENT: The employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
