Administrative Assistant II for a new opportunity to support our government customer.
LOCATION: Largo, MD (Fully in the office) THIS IS NOT A REMOTE POSITION
SUPERVISORY RESPONSIBILITY Works under minimal supervision, with extensive latitude for the use of initiative and independent judgment.
POSITION DESCRIPTION - The A
dministrative Assistant II provides ongoing support for County Government client.
ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES - Serve as secretary to the Lead and Asthma Program Manager.
- Computerized management systems are accessed daily to review pending projects, electronic mail, etc. so that appropriate responses and actions are initiated per office guidelines.
- Supplies are ordered subject to approval of the Program Chief and Program Manager, as requested.
- Prepare and maintain administrative, office, field, and informational files.
- Receives screens and prioritizes telephone calls regarding program matters. Evaluates citizens' inquiries to determine the proper source of resolution and refers the citizen to that source. Take messages and ensure that Program Manager is kept apprised of urgent matters.
- Receives, organizes, prioritizes, and distributes incoming correspondence to Program Manager and staff.
- Purging and Maintenance of appropriate files and systems for administrative documents and assures ready access to information and materials.
- Data Entry/Reporting and Management of the Red Cap program.
- GENERAL OFFICE DUTIES
- Performs related work as assigned.
MINIMUM QUALIFICATIONS - Minimum of 2 years of working experience as dministrative assistant
- Proficient with Microsoft Office, specifically Outlook, Word, and Excel.
- Strong oral and written communication skills.
- Excellent organizational skills.
- Must be able to effectively multi-task, manage time-sensitive documents and have exceptional organizational skills in a fast-paced environment.
- Must be able to function effectively in a busy, team-oriented environment.
- Office administration experience.
- Effective communication and leadership skills.
- Excellent problem-solving and analytical skills.
CLEARANCECERTIFICAITON EDUCATION HOURS OF OPERATION The worksite location will be performed predominantly at the Government offices during core business hours of 8:00 a.m. - 6:00 p.m., Monday through Friday on a regular 40 hour per week schedule unless otherwise required by the Manager.
PHYSICAL, MENTAL, AND ENVIRONMENTAL CONDITIONS Must have the use of sensory skills to effectively communicate and interact with other employees and the public using the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions.
CONDITIONS OF EMPLOYMENT - Must be legally authorized to work in the United States of America. Sponsorship will not be a part of this contract.
