Administrative Assistant II - Transportation Office

Qualifications:
  1. Minimum education of a high school diploma; bachelor's degree in accounting, business, fiscal management or related field preferred.
  2. Minimum of 5 years of accounting or financial management experience.
  3. Proficiency with the Microsoft Office Suite (Access familiarity is not required), Student Management System, Data Services, Google Workspace preferred.
  4. Experience with an automated financial system; experience with the State of Delaware's First State Financials (FSF) system preferred.
  5. Knowledge of federal, state and local accounting principles.
  6. Excellent communication, organizational and interpersonal skills.
  7. Familiarity with public school accounting structures preferred.
  8. Selected candidates may be given a skills test.
Performance Responsibilities:
  1. Attends trainings related to responsibilities and remains current on State initiatives related to responsibilities (i.e. payroll, FSF, State of Delaware Budget and Accounting Manual requirements, Busology/VEO, etc.)
  2. Process and distribute payroll timesheets in accordance with Finance/PHRST guidelines and timelines
  3. Creates and modifies purchase orders, pays bills, processes contractor/vendor payments and payment vouchers
  4. Compile and complete monthly reports to DOE for our budgets (both the state side and the local side) and upkeep a monthly report for our District Office/Finance Office
  5. Evaluates credentials, working with DOE when necessary, to determine driver/aide status of both new and current staff, using our TRS system
  6. Maintains a regular filing system and processes incoming correspondence
  7. Responds to employee's/contractor/vendors questions and resolves issues in a timely and professional manner
  8. Places and receives telephone calls/emails, records messages and return phone calls/emails when requested
  9. Follows procedures which implement operational and fiscal policies
  10. Follows policies and procedures as established by the district office, State of Delaware and the Federal Transportation
  11. Proven ability to work well in and contribute to a team environment
  12. Ability to multi-task and prioritize tasks is required
  13. Proven ability to communicate and collaborate with others is required
  14. Willingness to obtain their bus aide certification, in case of a staff shortage
  15. Willingness to work a flexible schedule to accommodate transportation needs to ensure the office is covered when transportation is operational
  16. Other duties as assigned by both the Director of Finance and/or the Supervisor of Transportation

NOTE: A minimum of a high school diploma or GED is required for all employees of the Seaford School District.

SPECIAL CONDITIONS OF EMPLOYMENT: All new state employees will be required to participate in the State of Delaware's Direct Deposit system. With direct deposit, wage and salary payments are deposited in the employee's bank account via electronic funds transfer.

All final candidates for employment must have a satisfactory criminal background check before being placed on contract/payroll as per State of Delaware regulations. Candidates must call the Delaware State Police at to make an appointment. The cost of the criminal background check is $65 (expense borne by the prospective employee). Final candidates must also receive a satisfactory child protection registry check.

Final candidates must also produce documentation of Mantoux skin test results for entrance to school system.

The State of Delaware has initiated a lag pay policy which means that new employees will receive the first paycheck at the end of the second pay period of work.
