Job Description
Position Overview
Under close supervision responsible for administrative support to one or more management and the department. Typical job responsibilities include assisting and supporting management in ensuring that the department operates in a manner that meets the operational needs by coordinating office services and handling administrative and office details. The specific work assignment may include duties or activities that assist and support management in one or more of the following functional areas, in addition to other duties as assigned:
Functional:
- Performs intermediate secretarial, clerical, and administrative duties
- Creates letters, presentations, reports, plans, procedures, policies, spreadsheets and other project-related documents
- Reviews, scans and uploads files, documents, policies and procedures into the electronic records system
- Enters Purchase Requisitions into the procurement system for supplies and services
- Maintains meeting schedules and makes appointments and travel reservations/arrangements
- Takes dictation or minutes and transcribes notes for letters, memos, or reports
- May interface with all other Administrative Assistants to coordinate workload as required
- May also perform some of the duties and functions of another bargaining unit Administrative Assistant on a temporary basis while that Administrative Assistant is out on leave as required
- May also perform some of the non-proprietary duties and functions of a non-bargaining unit Administrative Assistant on a temporary basis while that Administrative Assistant is out on leave as required
Job Requirements
Minimum Requirements (Must meet DOE O 426.2 minimum requirements):
- High School diploma or equivalent
- 2+ years of related experience, or an equivalent combination of education and experience is required
- Ability to obtain and maintain a Homeland Security Presidential Directive 12 (HSPD-12) credential
