Provides administrative support to middle management as well as department members. Under general guidance, prioritizes workload producing high-quality and on-time work.

JOB RESPONSIBILITIES
  • Type correspondence, memos, reports, presentations, and other documents ensuring accurate grammar, spelling, punctuation and company branding. Asks questions about assignments to fully understand expectations, audience, draft deadline, and final deliverable. Maintains organized electronic files.
  • Screen guests and calls providing assistance or redirecting as appropriate and interacting professionally with all levels of management.
  • Manages superiors' calendar(s). Schedules meetings; coordinates arrangements; takes initiative to obtain or produce materials in advance of meeting
  • Coordinates travel arrangements; may complete expense reports
  • Initiates reordering kitchen and office supplies in order to maintain an adequate inventory.
  • Provides administrative support compiling annual department budget.
  • Runs standard reports as scheduled and downloads to Excel. As instructed adds formatting, formulas, conditional formatting, or pivot tables, to enhance, summarize, or trend data for further review and presentations.

MINIMUM REQUIREMENTS

Education:
  • High School Diploma or equivalent required
Experience:
  • At least three (3) year's administrative assistance experience with progressively more responsibility
Knowledge, Skills & Abilities:
  • Type correspondence, memos, reports, presentations, and other documents ensuring accurate grammar, spelling, punctuation and company branding. Proactively ask questions about assignments to fully understand expectations, audience, draft deadline, and final deliverable. Maintain and organize electronic files.
  • Screen guests and calls providing assistance or redirecting as appropriate and interacting professionally with all levels of management.
  • Manage superiors' calendar(s); schedule meetings; coordinate arrangements; and take initiative to obtain or produce materials in advance of meetings.
  • Coordinate travel arrangements; and complete expense reports and submit receipts for reimbursement.
  • Initiate reordering kitchen and office supplies in order to maintain an adequate inventory.
  • Provide administrative support compiling annual department budget.
  • Run standard reports and download to Excel, which may include formatting, adding formulas, conditional formatting, or pivot tables to enhance, summarize, or trend data for further review and presentation.
  • Obtain signatures internally as needed for legal agreements and other documents.
  • Assist with interoffice communication and mailing needs.
  • Additional administrative responsibilities as requested or assigned.
MINIMUM REQUIREMENTS

Education:
  • High School Diploma or equivalent required
Experience:
  • At least three (3) years' administrative assistance experience with progressively more responsibility
Knowledge, Skills & Abilities:
  • Intermediate Excel (conditional formatting, basic formulas) to produce efficient and accurate data
  • Proficient Power Point skills to produce quality presentations
  • Proficient MS Office and Word
