Job Summary:

Provides administrative support to the assigned department and/or department lead. Coordinates the maintenance, organization, and administration of departmental functions, as designated

Minimum Required Education:
  • High School diploma or equivalent
  • Preferred: Associate's degree or higher, or combination of experience and education that yields the required knowledge, skills, and abilities.
Preferred Experience:
  • 2 to 5 years clerical, general office, or administrative support experience.
  • Work experience in secondary or higher education, preferably student services related area.

Essential Job Functions
  • Performs general administrative support tasks including coordinating appointments. Answering the phone and directing calls to the appropriate resource, typing correspondence, filing and maintaining files, ordering and maintaining supplies, maintaining a calendar for daily events, and greeting visitors, faculty, staff and students.
  • Performs and assists in projects, services, and activities to assist the assigned department's specific needs as they relate to the department.
  • Assists with the departmental budget, processes purchase requisitions and submits invoices for payment.
  • Assists with programs and meetings hosted by the department, the college, and/or student groups as needed.
  • Provides guidance to students requesting information about Hill College services and other educational tools.
  • Provides assistance to other departmental administration and staff as needed.
  • Submits support tickets as needed for the department and/or department lead.
Area Specific Job Functions:
  • Maintains and ensures promotional and informational materials are well-stocked and organized, providing an open and welcoming environment.
  • Maintains an up-to-date calendar of events/room usage for the department.
  • Assists with the distribution and data entry for the department or division (i.e. parking stickers, background forms)
  • Assists with the production and distribution of student and faculty/staff ID cards.
Other Information:
  • Security sensitive position.
  • Participates on institutional committees as assigned.
  • Weekend and evening work may be required during designated times.
  • May travel to other Hill College campuses or within the service area as needed.
  • Must have a valid Texas driver's license.
Physical Requirements:
  • Sedentary/Light work; exerting up to 10 - 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
